Position Summary
The Administrative and Operations Assistant supports the Executive Directors or team, the Policy Specialist and the Operations Manager through providing administrative and secretarial support, and other duties as assigned.
This position has been designated as confidential.
Physical / Mental Requirements
- Uses personal computer approximately 7-8 hours per day.
- Uses telephone and email to communicate with staff, clients, and other professionals, approximately 1-3 hours per day.
- Spends approximately 1-6 hours per week in meetings.
- Sits approximately 7-8 hours per day.
- Requires working under a moderate degree of stress (time constraints; deadlines; multi-tasking high-level projects and issues;
complex issues; and conflict resolution).
Minimal travel, generally local. (less than 10%)
Essential Functions
- Provide administrative and secretarial support, sometimes complex and high-level, to staff as assigned.
- Prioritize work assignments and meet assigned deadlines while appropriately resolving those that conflict in a timely manner, seeking assistance in doing so when necessary.
- Follow the organization’s policies and procedures.
- Appropriately prioritize tasks as needed and to multi-task numerous responsibilities in a timely manner.
- Assist with organizing, coordinating and producing reports and work products of others including summarizing data from multiple persons, locations and resources.
- Establish personal credibility throughout the organization, in order to be an effective support person.
- Coordinate arrangements, as directed, for assigned meetings.
- Produce and maintain quality, error free materials both printed and electronic .
- Maintain thorough, and complete records including minute taking and database entry.
- Provides backup to reception when needed.
- Maintain, when required based on subject matter, strict confidentiality of information not meant for other consumption.
- Develop and maintain collaborative, cooperative relationships with internal and external stakeholders, including the board of directors as well as employees at all levels of the organization.
- Apply the principles of the organization’s vision and values in all work-related business and interactions.
- Perform other duties as requested or required.
Required Qualifications
- High School Diploma or GED plus three years of full-time secretarial or administrative assistant experience.
- Excellent interpersonal, relationship-building and collaboration skills to be able to work effectively with others inside and outside of the organization;
relationship builder with the flexibility and finesse.
- Exceptional detail-orientation, follow-up skills and organizational skills.
- The ability to multi-task and work under challenging conditions while meeting required deadlines.
- Demonstrated ability to manage workload so that services are delivered timely and appropriately.
- The ability to work well independently but also in a team environment.
- Working knowledge of Microsoft Outlook, Word, Excel and PowerPoint.
- High level of commitment to service excellence.
- High degrees of integrity, ethics and judgment are a must.
Preferred Qualifications
- Associate’s degree in business administration, communications or related field.
- Demonstrated success working with persons with disabilities.
