Summary :
We are looking to fill a key position in our Outbound operations. The chosen candidate will be cross-trained in multiple functions with the primary tasks of processing paperwork and administratively assisting the outbound operation.
This is a swing shift position with set hours Monday through Friday starting at 4 : 00PM and working until 12 : 30am.

ESSENTIAL DUTIES AND RESPONSIBLITIES :
- Intake and processing of all city pickup trailers including verifying hazmat and identifying hot freight shipments.
- Manifest all outbound trailers appropriately checking off mis-loads and verifying hazmat information.
- Assist in planning and scheduling outbound shipments to ensure timely and accurate delivery.
- Communicate with hostlers, drivers, customers, and vendors to coordinate pick-up and delivery schedules.
- Maintain accurate records of outbound shipments, including shipment logs, delivery receipts, and invoices.
- Update and manage databases and spreadsheets related to outbound operations.
- Ensure OS&D freight is being processed in a timely manner.
- Ensure all documentation is properly filed and easily accessible.
- Provide support to customers by answering inquiries and resolving issues related to outbound shipments.
- Communicate effectively with customers to provide updates on shipment status and address any concerns.
- Identify opportunities for improving administrative processes and outbound operations.
- Participate in training and development programs to enhance skills and knowledge.
- Other duties as assigned.
JOB REQUIREMENTS :
- High school diploma or equivalent; additional education or certification in office administration, logistics, or a related field is a plus.
- Proven experience in an administrative or clerical role, preferably within the transportation or logistics industry.
- Strong organizational, prioritization, and multitasking skills.
- Excellent verbal and written communication skills with internal and external customers.
- Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) and logistics software.
- Ability to excel in high-pressure environments with large work volumes and tight deadlines.
- Ability to work independently and as part of a team.
- Strong attention to detail and problem-solving skills.
