Job Description :

General Summary : The Executive Assistant to the Vice President for Academic Affairs (VPAA) / Chief Academic Officer (CAO) provides high-level administrative support to the university's chief academic officer.

This position plays a critical role in the work of the Office of the VPAA, supporting academic leadership and faculty in a wide range of academic initiatives and ensuring smooth day-to-day operations.

The Executive Assistant is responsible for coordinating the VPAA's calendar with the office AA, working with the Office of Financial Affairs and Human Resources on faculty contracting and hiring, collaboratively managing all VPAA and Faculty Affairs files and web pages, providing administrative support to the Academic Leadership Cabinet (ALC) and strategic planning groups led by the VPAA, and providing leadership for the planning and implementation of significant annual academic events, including New Student Convocation and the University's Commencement events.

The ideal candidate will be experienced in handling a broad range of activities and will be able to work independently, proactively, and collaboratively.

They must be exceedingly well organized and flexible and enjoy the administrative challenges of supporting an office with diverse constituents and needs.

The position requires the ability to interact diplomatically and efficiently with a broad range of individuals, including faculty, students, administrators, trustees, vendors, and other external constituents.

They will have a high level of emotional intelligence and be comfortable working to deadlines and remaining flexible, proactive, resourceful, and professional.

Excellent communication skills, a high degree of discretion and ability to maintain confidences, a commitment to providing excellent service and building positive working relationships, and attention to details are equally important.

Requirements :

  • An active and maturing Christian faith with a strong personal commitment to the , and willingness to live by the lifestyle standards of the Christian community.
  • Bachelor's degree.
  • Three years of administrative support and / or project management experience, preferably in a higher education setting.
  • Ability to effectively represent the Office of the Provost to University leadership, faculty, staff, students, parents and families, community partners, and emeriti faculty.
  • Ability to take direction but then work and problem solve independently, juggling multiple priorities with poise and accuracy.
  • Strong interpersonal skills; Ability to work in a team setting, including working collaboratively with office staff and other academic staff across the university.
  • Ability to analyze existing systems and processes and suggest improvement related to efficiency and customer service.
  • Excellent written and verbal communication skills.
  • Very strong attention to detail, evidenced in all submitted application materials.
  • Willingness to work some flexible hours during peak periods and special events, e.g., Commencement activities in June, New Student Convocation in September.
  • Skilled in Microsoft Office products including Word, Excel, Outlook, SharePoint and OneNote. Experience with Adobe Acrobat and Adobe Sign also a plus.
