Essential Functions : What you’ll do :
Subcontractor management :
- Provide support for the entry of new supplier profile information into E-10.
- Dedication to keeping the overall E-10 subcontractor network data updated.
Insurance management :
- Continuous follow-up and collection of insurance prior to expiry.
- Enter insurance certificates data into E-10 and upload documents.
- Assist with requests for Pattison WSIB.
- Assist with the annual WSIB report for Human Resources.
Third Party Audit coordination :
- With the VP’s guidance, manage the relationships of the external Third Party Audit groups such as Avetta, ISNetworld, Complyworks and Cognibox.
- Review and interpretation of audit requirements and recommendations of solutions.
- Review and revision of Policies (Health & Safety first, followed by other areas).
General requirements :
- Provide integral reports to department manager
- Support annual Accounts Payable audits.
Special Projects :
- Work with team to recommend and facilitate upgrades to E-10, E-Pattison and external subcontractor networks for interaction between the 3 systems or individual upgrades.
- Recommend systems or process improvements to increase efficiency or accuracy related to Installation, Service and Maintenance.
Work Flow Requirements :
Manage incoming requests and communicate work load to Manager ensuring that our subcontractor network is up to date and compliance requirements are met therefore minimizing Pattison ID’s risks.
Qualifications : What you’ll need to be successful
Work Experience : Previous work experience in corporate health & safety programs would be beneficial.
Business Knowledge : Good knowledge of the construction and sign industry.
Language Proficiency : Ability to read and speak French is preferred, but not required.
Tactical : Capable of performing transactions in Epicor 10 (project management module) to track tasks and project milestones.
Ability to develop and implement both short term and long-term goals.
Ability to adapt to change : Ability to recognize change is constant as it relates to daily business activities, resources, customer requirements and communication methods.
Effective Listening : Fully concentrate, understand, and ask thoughtful questions to ensure task instructions are consistently completed with minimal errors and timely.
Organization : Attention to detail, ability to multitask, focus on deep work without being distracted, analytic skills, time management and collaboration.
Problem Solving : Experienced Subcontractor Services Administrator’s will develop the ability to analyze and define a problem, evaluate alternatives, propose a solution to critical stakeholders
Relationship Management : To advance the work of the organization by interacting with internal / external stakeholders in developing professional and productive relationships.
Develop a proficiency in a number of Third Party Audit group websites (Avetta, ISNetworld, ComplyWorks etc.). Poses the ability to interpret the requirements of the auditing groups and propose solutions on how to use and / or adapt any existing policy to meet the requirements of our customers.
Communication : Ability to produce clear status reports (writing and verbal) and policies, communicate professionally and ability to adapt communication depending on the audience receiving the message.
Technical Proficiencies : Strong competencies in Microsoft applications (Word, Excel, Power point, Outlook and Zoom. Technical aptitude for data systems, process improvement, analyzing information and developing standards.

While performing the duties of this job, the employee is constantly required to sit and use hands to operate telephone, type and operate computer and mouse.
- The employee is frequently required to talk, hear, and bend and twist neck.
- The employee may occasionally lift and / or move up to 10 pounds and rarely lift and / or move up to 25 pounds.
