A New Leaf's Human Resources department is seeking a detail-oriented and organized Onboarding Coordinator to ensure a smooth onboarding process for new employees.
Reporting to the Learning Development and Engagement Manager, this role manages everything from offer acceptance to early days on the job, including overseeing New Employee Orientation (NEO), coordinating training, completing paperwork, and maintaining communication with new hires.
The Onboarding Coordinator also collaborates with various departments to ensure employees are fully prepared for their roles within the agency.
Hourly Pay Range : $22.00 - $24.00
Shift : Monday Friday; 8 : 00am 5 : 00pm
Location : Mesa, AZ (on-site only)
QUALIFICATIONS
Education :
- High School or GED required
- Assoicate Degree Preferred
- Instructor CPR / First Aid Preferred
Experience :
- One (1) year of Human Resources experience, required
- Demonstrate advanced knowledge of Microsoft Office Suite; including, Outlook, Excel, and Word.
- Bilingual Spanish Preferred
DUTIES AND RESPONSIBILITIES
- Open and prepare HR training building to ensure building alarms are unarmed.
- Secure HR training building at the close of business each day ensuring building doors are locked, alarms are armed, and campus gate is closed.
- Act as the main liaison for candidates, hiring managers, and internal HR and business stakeholders to ensure a positive onboarding experience for new employees.
- Manage the onboarding experience to facilitate a smooth transition from offer acceptance to integration into the agency.
- Manage onboarding resources, including orientation schedules and welcome packets.
- Facilitate onboarding activities, including pre-hire screenings and New Employee Orientation (NEO) daily sessions.
- Organize and facilitate training sessions, encompassing role-specific skills training and compliance training, in collaboration with department heads.
- Verify that all required new hire paperwork is accurately completed and submitted promptly in Dayforce.
- Process and assess background checks to ensure compliance with agency policies.
- Assist new hires in logging into HRIS systems and navigating training materials, addressing technical challenges in partnership with the IT department.
- Work directly with the Learning Development and Engagement Manager, HR team, and hiring managers to align onboarding efforts with organizational needs.
- Track new hires’ onboarding progress, providing feedback and addressing any concerns.
- Ensure the accuracy of employee profiles in the internal HR system and confirm that required training and forms are completed before program transition.
- Ensure a smooth transition for new employees to their program managers when exiting NEO.
- Generate NEO reporting and updates for designated groups and managers.
- Verify that onboarding processes adhere to agency policies and state / federal employment regulations.
- Create and send new employee welcome communications with information about the organization and onboarding processes to foster a welcoming experience.
- Troubleshoot computer and HRIS system challenges in partnership with the IT department.
- Coordinate onboarding presentations and presenters.
- Assist with the coordination, preparation, and distribution of employee documentation.
- Provide a warm hand-off to new employees to their program managers when they are ready to exit NEO.
- Prioritize and manage workload to meet critical deadlines.
- Identify and elevate any employee behavior concerns appropriately and proactively to HR Employee Relations Managers.
- Act as a subject matter expert and make solution-driven recommendations to improve processes and enhance the new employee's experience.
- Ensure compliance with all processes and maintain a high level of confidentiality and ethics.
- Identify innovative and creative ways to enhance the onboarding experience and ensure scalability.
- Manage onboarding and NEO electronic forms as needed to support changes within the organization.
- Update internal processes as needed and ensure appropriate staff are educated on changes.
- Ensure NEO spaces are presentable and stocked each day.
- Work collaboratively with the HR team, employees, and managers in a courteous, professional manner while maintaining strong interpersonal and communication skills, including active listening.
- Handle sensitive and confidential information in a timely and professional manner, demonstrating a high level of discretion.
- Maintain professionalism in work habits, attitude, communication, and dress.
- Exhibit strong attention to detail and organizational ability, with the capacity to prioritize and manage multiple tasks under pressure while adhering to deadlines.
- Be a flexible and adaptable team player with a results-driven approach, capable of working with limited guidance and anticipating changing job needs.
- Demonstrate motivation, reliability, and a collaborative attitude, contributing positively to team dynamics.
- Facilitate CPR / First Aid training for new employees, including scheduling sessions, tracking certifications, and organizing refresher courses before expiration.
- Perform other duties as assigned.
