Helping Hands Health and Wellness Center is a 17-year old free medical clinic seeking its fourth Executive Director. Helping Hands Health and Wellness Center provides Family Medicine, Pharmacy services, and social services care to uninsured and underinsured adults whose income is below 400% of the federal poverty guidelines.
Job Summary and Responsibilities
As the Executive Director, you are responsible for executing the mission, vision, administration, and operations of Helping Hands Health and Wellness Center in line with the strategic direction of the Board of Directors.
This includes the execution of all programs and services of Helping Hands Health and Wellness Center including on-site management and financial accountability.
The overall organization of the clinic, staff members, and clinic functions are under the direction of the Executive Director.
In this role, your primary job responsibility is relationship management. You will be responsible for cultivating and developing relationships with patients, staff members, Board members, donors, volunteers, community partners, corporate partners, religious institutions, and supporters.
The responsibilities to manage these relationships include, but are not limited to :
- Administration
- Strategize the organization’s short range and long-range program goals.
- Establish goals, objectives, and operational plans in collaboration with the Board of Directors, staff, and other leaders.
- Attend all meetings of the Board of Directors and provide direction and input into decisions affecting the clinic and its staff.
- Responsible for the recording of accurate data and developing timely reports.
- Maintain positive, productive, and beneficial relationships with all Helping Hands Health and Wellness Center team members.
- Manage and motivate personnel, overseeing processes such as hiring, separation, ongoing personnel development, performance management, compensation, and benefits.
- Maintain positive, productive, and beneficial relationships with Board members.
- Assure that organizational policies are carried out, by implementing programmatic policies, procedures, protocols and quality assurance guidelines approved by the board.
- Review policies and procedures and update them as needed with staff.
- Purchase equipment, supplies, furniture, medications, and other supplies as needed for administrative needs and program operations.
- Development
- Responsible for the successful execution of the budget and all related development activities which includes, but is not limited to :
- Maintain existing donor relationships.
- Implement fundraising initiatives.
- Perform grant research and writing grants to completion, serving as the primary grant writer and contact.
- Introduce new potential donors to the clinic (corporate, individual, religious, organizational etc.).
- Secure funds to assure the clinic has sound financial base and can grow as necessary.
- Effectively represent the organization and promote a positive organizational image to ensure adequate community representation.
- Actively engage in community relations making speeches and visits to other organizations and community partners.
- Collaborate with other nonprofit organizations.
- Financial
- Prepare and maintain organizational budget with the help of the Board Treasurer.
- Update Board of Directors regarding current clinic financial status in relation to annual budget.
- Assure that all Federal, State and Local financial reporting is completed on a required basis.
- Operations
- Assure that the organization makes consistent and timely progress in achieving its mission and target programmatic impact.
- Ensure its overall successful long-term operations.
- Provide leadership and supervision in the introduction, development, and execution of new programs.
- Collaborate with the staff team to develop additional patient services as opportunities and needs arise.
- Understand the Electronic Medical Records system (AthenaHealth) and be prepared to support the usage of AthenaHealth.
- Stay up-to-date with HIPAA practices.
- Undertake routine assessment of clinic functions and make necessary changes in line with the expansion or efficiency.
- Other duties as assigned.
Work Hours
- 28 to 36 hour per week position.
- Schedule is flexible with work hours primarily being built around program needs.
- Regular evening work and limited weekend work is expected.
- FLSA : Exempt, not eligible for overtime.
- At this time, this position does not offer health insurance or other benefits.
- This position offers two (2) weeks of vacation and two (2) weeks of sick leave.
Organizational Structure
- Supervises all paid staff (currently 5) and assists with supervising volunteers and interns.
- Is supervised by the entire Helping Hands Health and Wellness Center Board of Directors (currently 13), with the Board President serving as the primary point of contact.
Qualifications
- Desired Intrapersonal Skills : Communication, creativity, critical thinking, openness, collaboration, patience, sound judgment, and compassion.
- Desired Education : Bachelor’s Degree or equivalent experience; Master’s Degree or equivalent experience preferred.
- Desired Experience : Experience working with patients, families and multiple agencies preferred. Awareness of the impacts of cultural diversity is necessary;
- Strong grant writing background / experience; Experience in a healthcare setting and understanding of the healthcare delivery system;
Knowledge of financial systems and reporting.
Other Desired Skills : Computer literacy required; Moderate physical demands of the job; Must be able to lift / carry 20 lbs.
