We are in search of a dynamic Wealth Management Operations Associate / Client Services Associate.
Job Summary
The Wealth Management Associate will play a vital role in supporting day-to-day operations, client interactions, and administrative functions.
The ideal candidate must have excellent computer, organizational, and communication skills. This role involves a mix of in-office duties and periodic remote work at management’s discretion.
Key Responsibilities
- Provide general administrative support to the office.
- Interact professionally with clients via phone, email, and in person.
- Answer phone calls, respond to client inquiries, and schedule appointments.
- Manage the copy and supply room, printing and mailing client documents.
- Create, manage, and maintain reports for client presentations.
- Build and maintain basic Excel spreadsheets for data tracking and reporting.
- Maintain and manage a file-scanning database, ensuring that all client and firm records are accurate and up-to-date.
- Assist with client onboarding and ongoing client information changes.
- Perform other office-related tasks as required.
- Open and close the office, ensuring a secure and welcoming environment.
Qualifications
- Proficiency in Microsoft Office (Word, Excel, PowerPoint) and general computer skills.
- Ability to learn database management and scanning software.
- Strong organizational skills and attention to detail.
- Excellent verbal and written communication skills.
- Ability to multitask and manage time efficiently.
- Must be comfortable interacting with clients and maintaining professionalism.
- Ability to work independently and remotely, as needed.
- Experience in the financial services industry is a plus, but not required.
Education and Experience
- High School Diploma or equivalent (required); Associate’s or Bachelor’s Degree (preferred).
- 2+ years of experience in an administrative or office support role.
