Quality Automotive Services (QAS) is a distinguished franchise of Valvoline Instant Oil Change, operating over 150 service centers and serving customers across 14 states.

Committed to excellence in automotive services, we are seeking an efficient and personable Office Administrator to play a key role in office operations, including phone management, package handling, and maintaining positive relationships with vendors.

Position Overview : As the Office Administrator at Quality Automotive Services, you will be responsible for providing essential support to office leadership and maintaining smooth office operations.

This includes handling phone calls, managing packages, setting up UPS / FedEx pickups, overseeing mail distribution, and completing other tasks assigned by office leadership.

A key aspect of this role is fostering positive relationships with the office team and vendors to uphold the QAS brand standards.

Key Responsibilities :

  • Phone Management :
  • Answer and direct incoming phone calls in a professional and courteous manner.
  • Provide assistance and information to callers as needed.
  • Package Handling :
  • Receive and organize incoming packages.
  • Coordinate with delivery personnel and ensure timely distribution.
  • UPS / FedEx Pickups :
  • Schedule and set up UPS / FedEx pickups for outgoing packages.
  • Ensure packages are prepared and ready for shipment.
  • Mail Distribution :
  • Oversee the distribution of mail within the office.
  • Organize and maintain mailroom supplies.
  • Task Execution :
  • Complete various tasks assigned by office leadership in a timely and accurate manner.
  • Collaborate with team members to ensure seamless task execution.
  • Vendor Relationships :
  • Maintain positive relationships with office vendors.
  • Communicate effectively to ensure vendors uphold the QAS brand standards.
  • Office Support :
  • Provide general administrative support to office leadership.
  • Assist in coordinating office events and activities.
  • Communication Skills :
  • Communicate effectively with team members, vendors, and external contacts.
  • Uphold a positive and professional image for the office.

Qualifications :

  • High school diploma or equivalent; additional office administration training is a plus.
  • Proven experience in office administration or a similar role.
  • Excellent communication and interpersonal skills.
  • Strong organizational and multitasking abilities.
  • Proficiency in using office equipment and software.
