Our client is in need of a Front Desk Coordinator in San Antonio, Texas. The role involves a variety of administrative responsibilities in a busy, fast-paced environment.

The Front Desk Coordinator will serve as the first point of contact for visitors and will be responsible for performing a range of tasks to ensure the smooth operation of the office.

Responsibilities :

  • Welcome visitors to the site, ascertain their purpose of visit, and announce their arrival to the appropriate personnel.
  • Offer refreshments to visitors and clients as required and maintain an inviting and professional lobby area.
  • Monitor visitor access and maintain a secure office environment.
  • Answer incoming calls promptly and professionally, forwarding calls to the correct personnel or department.
  • Take and deliver messages or direct calls to voicemail when personnel are unavailable.
  • Provide information about the organization to callers, including providing addresses, directions, and contact details.
  • Manage the receipt, sorting, and routing of mail, and maintain and distribute publications.
  • Perform a range of clerical duties as needed, including filing, photocopying, scanning, and collating.
  • Maintain office equipment such as printers and copy machines, making repair calls when necessary and monitoring supplies.
  • Assist with the organization and maintenance of common areas, including the lobby, mailroom, conference rooms, and kitchen.
  • Proven experience in Administrative Assistance
  • Proficiency in Answering Multi-Line Phone System
  • Experience in providing Concierge Services
  • Strong Customer Service skills
  • Proficiency in Data Entry tasks
  • Excellent Interpersonal Skills
  • Knowledge and experience with Microsoft Excel, Microsoft Outlook, and Microsoft Word
  • Experience in Organizing Files
  • Previous experience performing Receptionist Duties
