Our client is in need of a Front Desk Coordinator in San Antonio, Texas. The role involves a variety of administrative responsibilities in a busy, fast-paced environment.
The Front Desk Coordinator will serve as the first point of contact for visitors and will be responsible for performing a range of tasks to ensure the smooth operation of the office.
Responsibilities :
- Welcome visitors to the site, ascertain their purpose of visit, and announce their arrival to the appropriate personnel.
- Offer refreshments to visitors and clients as required and maintain an inviting and professional lobby area.
- Monitor visitor access and maintain a secure office environment.
- Answer incoming calls promptly and professionally, forwarding calls to the correct personnel or department.
- Take and deliver messages or direct calls to voicemail when personnel are unavailable.
- Provide information about the organization to callers, including providing addresses, directions, and contact details.
- Manage the receipt, sorting, and routing of mail, and maintain and distribute publications.
- Perform a range of clerical duties as needed, including filing, photocopying, scanning, and collating.
- Maintain office equipment such as printers and copy machines, making repair calls when necessary and monitoring supplies.
- Assist with the organization and maintenance of common areas, including the lobby, mailroom, conference rooms, and kitchen.
- Proven experience in Administrative Assistance
- Proficiency in Answering Multi-Line Phone System
- Experience in providing Concierge Services
- Strong Customer Service skills
- Proficiency in Data Entry tasks
- Excellent Interpersonal Skills
- Knowledge and experience with Microsoft Excel, Microsoft Outlook, and Microsoft Word
- Experience in Organizing Files
- Previous experience performing Receptionist Duties
