Hours : Mon Fri, 8am 5pm
Pay : starting at $18 per hour depending on experience
Location : San Antonio, TX; in office only, no remote work available some travel required

Summary
The Receptionist and Office Coordinator will serve as the first point of contact for our members and vendors, providing exceptional customer service and support our membership department with clerical tasks such as document preparation, date entry, and phone calls.
This position will also be a secondary support to our shipping and receiving operations. In this role, you will ensure a smooth and professional experience for everyone who enters our offices.
All applicants should demonstrate an understanding of, and commitment to, hunting as an essential part of biologically sound and ethically responsible international wildlife management.
The ideal candidate will have an existing knowledge of SCI’s current programs and mission and be passionate about hunter’s rights.
Responsibilities
- Greet visitors, members, and vendors in a professional and friendly manner.
- Answer, screen, and forward incoming phone calls while providing basic information when needed.
- Handle customer inquiries and provide information about the company’s mission, membership, and other services.
- Help to manage and schedule appointments, meetings, and room bookings.
- Maintain a tidy and organized reception area, ensuring a positive first impression for members.
- Process and handle incoming and outgoing mail, packages, and shipments, ensuring accurate documentation and timely distribution.
- Use shipping software to prepare shipping labels, track package deliveries, and provide shipment status updates to customers.
- Coordinate with delivery services and couriers to ensure the smooth dispatch and receipt of shipments.
- Help update and maintain an accurate log of inventory and shipments.
- Maintain confidentiality of sensitive information.
- Support administrative and membership team with clerical duties, such as document preparation, data entry, photocopying, and answering phones.
- Assist with the coordination of special events or company functions as needed.
- Perform other related duties as assigned. Attends meetings, conventions, trade shows, and other events as appropriate.
Qualifications
- Minimum high school diploma or equivalent
- At least 1 year of experience in reception, customer service, or a related position
- Valid driver’s license with ability to be insurable on SCI policy
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Excellent verbal and written communication skills
- Strong organizational and multitasking abilities
- Ability to handle a multi-line telephone system
- Basic understanding of shipping and receiving processes
- Familiarity with postal and shipping services (USPS, UPS, FedEx, etc.)
- Attention to detail and accuracy in data entry
- Capacity to work independently with minimal supervision
- Professional demeanor and appearance
- Ability to manage confidential information responsibly
- Customer-focused mindset with problem-solving capabilities
- Flexibility to adapt to changing priorities and tasks
- Willingness to assist with general office duties as needed
- Basic math skills for processing transactions
- Experience with customer relationship management (CRM) software is a plus
- Bilingual abilities are advantageous but not required
- Excellent time management skills with a proven ability to meet deadlines.
- Ability to adapt to the needs of the organization and employees.
