Total Safety is looking for a Receptionist / Office Administrator to join their safety-conscious team! The Receptionist / Office Administrator performs reception duties including answering the switchboard, greeting visitors, executives, suppliers, and customers, and performing other specialized requests.

Provides backup administrative and clerical support.

Specific Job Duties and Responsibilities :

Corporate reception duties Meet and greet visitors, maintain reception areas in orderly manner,Monitor facility camerasIncoming mailPrepare overnight packagesSchedule and tidy conference roomsIssue building entry badgesOrder name plates and business cards Facilities coordinator with oversight by Office Manager Coordinate routine maintenance and repairs with vendors as neededOrder and stock breakroom, kitchens and training roomOrder and stock office suppliesAfter-hours and emergency contact for facility Assist with administrative, projects, travel arrangements and any other tasks as necessaryPrinting and binding documentsAssist with planning and managing meetings and office events including cateringMonitor and order in-stock promotional items;

source, replenish and order promotional items for company events or sales eventsAssist Sales team with event registration and promotional itemsHSE / LPS location representative, including quarterly facility inspections Identify fire wardens, update EAP, coordinate fire drills Assist Program Administrator for Concur for company travel and expense reporting platform Login credentials and password resetMap corporate cards to individual accounts and assign proper access and approversProcess terminated employee expensesMonitor and respond to Concur email box.

Assist Program Administrator for JPM Chase company cards Application requests and questionsProcess card applications including management approval, type of card, credit limit, MCC groupRespond to daily issues / requests from cardholders such as declines, increase credit limits, fraud, lost / stolen cards
