Overview
The Director of HR Shared Services (HRSS) is a key leader on the Home Office Human Resources team. Responsible for development, oversight and maintenance of processes that are designed to make Otterbein SeniorLife THE place to work, the Director of HRSS will directly influence the ministry in key areas such as HRIS, Compensation, Benefits, Compliance, Worker's Comp, and more!
Primary Duties and Responsibilities
HRIS
- Oversees and maintains optimal function of the HRIS, which may include installation, customization, development, maintenance, and upgrade to applications, systems, and modules.
- Provides technical support, troubleshooting, and guidance to HRIS users.
- Collaborates with executive leadership and HR staff to identify system improvements and enhancements; recommends and implements solutions.
- Generates reports / queries, including writing, maintaining and supporting a variety of reports or queries utilizing appropriate reporting tools.
Assists in development of standard and custom reports for ongoing customer needs. Helps maintain data integrity in systems by running queries and analyzing data.
- Promotes proactive approaches using the HRIS to solve business needs / problems while also enhancing the understanding and acceptance of the HRIS capabilities.
- Based on business need, negotiates priorities and support requirements with the IT department, functional staff at the field locations and others as appropriate.
- Conducts training, including developing user procedures, guidelines and documentation.
- Serves as lead representative and liaison between HR, information services, external vendors, and other stakeholders for HRIS design and implementation projects.
- Ensures system is managed for permissions, access, personalization, and similar system operations and settings for HRIS users.
- Ensures system compliance with data security and privacy requirements.
- Maintains knowledge of trends and developments in HRIS providers, vendors, and technology.
Compensation
- Ensure accuracy and legal compliance for all compensation plans
- Design, evaluate, modify, and communicate compensation programs to ensure that programs are current and competitive for all job classifications.
- Analyze compensation policies, government regulations, and prevailing pay rates to develop competitive compensation plans for all job classifications
- Recommend adjustments to wage scales and / or individual pay at least annually or as needed for competitive positioning
- Consult and advise Compensation Committee and other leadership and management regarding compensation decisions.
- Prepare job offer recommendation for salaried positions for approval by VP and / or designee
- Prepare offers for non-exempt positions as needed
- Lead development of job descriptions and classification systems including defining job levels and families
- Partner with Accounting to meet all requirements for 401(k) testing.

- Oversee the administration of the company's self-insured Worker's Compensation program, in coordination with our third-party administrator (TPA)

- Audit benefit and insurance files / data feeds for discrepancies and make appropriate recommendations for reconciliation
Supervisory & Leadership Responsibilities
- Responsible for the supervision of HRIS, Compensation, and Benefits teams
- Oversee the hiring and performance management of your team, including but not limited to interviewing, selection, onboarding, scheduling, training, coaching, disciplinary action, and terminations
- Lead assigned cross-functional efforts with Payroll, Finance / Accounting, Workforce Management, Operations, IT, and other key departments in Otterbein that drive continuous improvement for the organization
Experience & Qualifications
- Bachelor's degree, OR
- 10+ years of relevant experience, OR
- Combination of relevant education, certification, and experience
- Prior experience desired with;
- UKG or similar HRIS
- Greenhouse or similar ATS
- Workrede or similar internal communications app
- Proficient with Microsoft Office products
- Relevant HR, Payroll, Compensation, or Benefits certifications desired
