Description

General Statement of Duties :

This position is to provide front desk, customer service, and general clerical assistance to the organization supporting administrative functions where needed.

Major Duties and Responsibilities :

  • Monitor patient traffic flow to and from the residential unit, lobby during treatment hours, greet all visitors, check-in visitors, assure that visitors are on the approved visitor list, direct the visitors to the appropriate place and notify staff of their presence.
  • Answer front desk phone and voicemail to assure that the proper staff are notified of the incoming calls and assure that unscheduled potential patients / families are given tour of the facility.
  • Basic clerical duties : typing, copying, providing support to administration, creating forms and supporting walk in applicants.
  • Compiles, verifies, and files medical records.
  • Operates computer to enter and retrieve data and type correspondence and reports.
  • Reviews medical records for completeness, and files records in filing system.
  • Locates, signs out, and delivers medical records as requested.
  • Prepares folders and maintains records of newly admitted patients.
  • Reviews medical records for completeness, assembles records into standard order, and files records in designated areas according to applicable alphabetic and numeric filing system.
  • Compiles statistical data, such as admissions, discharges, and types of treatment given.
  • Scans / Archives existing paper records in electronic filing format
  • Other duties are provided as assigned by the Program Director, Clinicians and Administrative Assistant

Education :

High school diploma, prefer some college.

Experience :

Minimum of two years' experience in general office work with specific experience in secretarial duties, preferably in a medical setting.

  • Depth perception - three-dimensional vision. The ability to judge distance and space relationships to see objects where and as they are.
  • Field of vision - the area that can be seen up and down or to the right or left while the eyes are fixed on a given point.
  • Accommodation - adjustment of the lens of the eye to bring an object into sharp focus. This item is especially important when doing near-point work at varying distances from the eye.
