We are seeking a Legal Administrative Assistant to join a boutique law firm in Oakland, CA on a contract-to-hire basis. This role is ideal for candidates with strong legal administrative experience who are looking to support attorneys and manage day-to-day office functions in a dynamic legal environment.
The ideal candidate will have experience with legal filings, document preparation, and general office management, with the ability to balance legal support duties with broader administrative responsibilities.
Responsibilities :
- Attorney Support : Provide comprehensive administrative support to attorneys, including managing calendars, scheduling meetings, and coordinating client communications.
- Legal Document Preparation : Prepare, format, and proofread legal documents such as pleadings, motions, and correspondence.
Ensure all documents meet court formatting standards and are filed correctly.
- E-Filing : Perform electronic filing of legal documents in both state and federal courts, ensuring timely and accurate submissions.
- Billing & Invoicing : Manage and track the filing of invoices, assist with the legal billing process, and maintain financial records.
- Administrative Duties : Answer phones, handle mail, and manage office supplies. Assist in coordinating office operations and handling general office tasks as needed.
- Meeting Coordination : Organize and schedule meetings, mediations, and other firm-related events. Handle logistical arrangements for internal and external meetings.
- Office Management : Assist in the day-to-day management of office functions, ensuring the smooth operation of office services and maintaining office supplies.
Qualifications :
- 2-5+ years of legal administrative or legal secretary experience in a law firm or legal department.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) with strong word processing and document formatting skills.
Experience with e-filing systems is preferred.
- Familiarity with legal procedures, including document formatting, court filings, and case management. Experience in preparing and filing legal pleadings is preferred.
- Strong organizational abilities, with attention to detail and the capacity to manage multiple tasks and deadlines.
- Excellent verbal and written communication skills, with a professional demeanor in client and attorney interactions.
- Ability to work 3-4 days on-site in Oakland
