JOB DESCRIPTION
Title : AdministrativeAssistant to the Dean
Department : Dean’s Office College of Management
Campus : Post
The candidatewill manage and oversee assigned functions of the Dean’s office are properlycarried out and report to the Dean, Associate, and Assistant Dean.
PrincipalResponsibilities :
1)Prepare draft correspondence, agendas,reports; respond, disseminate correspondence / materials, as needed.
2)Prepareand monitor faculty letters for all departments / programs including maintainingcomputerized databases, computer and paper file systems.
a.Appointment letters
b.Sabbaticals
c.Stipends
d.Visiting professors
e.Probationary faculty released time
f.Liaison betweenadjuncts, department and payroll.
g.Process and monitor workloads.
3)Finance Duties
a.Process payment requests for accreditationfees, check requests, and travel expenses
b.Prepare Credit Card expense report for theDean
c.Handle Purchase orders
d.Monitoroperating, travel, restricted and Assistantship budgets
4)Handle routine office jobs as needed :
a.Maintain officeinventory and order supplies as needed.
b.Set up vacation calendar access
c.Coordinate, trainand supervise departmental secretaries and Dean’s Office student workers.
d.Assist withstudent recruitment activities and special events.
e.Assist in commencementactivities, award activities, and other school events.
f.Assist in awards preparation andpresentations : including award letters to students, ceremony booklets, plaques,certificates, flowers.
g.Manage and updateall faculty, administrator, and staff personnel files.
h.Prepare personnelfiles for submission to Academic Affairs.
i.Coordinator meetings and calendars for theDean and Assistant Dean.
j.Direct student inquiries or requests to theappropriate department / person.
k.Oversight andmanagement of the office the Dean in all daily activities.
Other responsibilities as designated by the Dean.
EducationRequirements :
Bachelor’s Degreerequired.
Training,Skills, Knowledge, Experience :
Candidatemust have excellent communication and interpersonal skills, good organizationalskills, proficient with computers and software such as;
Microsoft Word, Excel,PowerPoint, and Access. At least 2 years’ supervisory experiencerequired.
