Job Summary

This position is responsible for coordination, support, and analysis for the Information Technology organization and multiple Executive Team Members.

This position provides critical support for personnel, contracts, procurement, budgeting, and departmental initiatives including compiling and analyzing data to support Leadership decision making.

This position requires advanced communication, organization, and analytical skills.

Essential Duties and Responsibilities (Min 5%)

  • Coordinates and performs administrative functions for the IT department; compiles materials and assists in the preparation of budgets, reports, training, and programs
  • Participates and contributes to the design, implementation, and execution of programs, events, processes, and procedures.
  • Coordinates IT activities with other business functions and outside partners and vendors; represents IT in assigned meetings, responds to requests for information, and serves as a liaison for the IT department.
  • Defines, analyzes, and evaluates existing IT business functions and processes and makes recommendations to management on opportunities for process improvements.
  • Collects and analyzes data from a variety of sources including departmental records, documents, informational surveys, and contracts.

Develops and presents written and verbal reports and recommendations for action based on analysis of gathered data.

  • Communicates process and systems changes, enhancements, and modifications to stakeholders both internal and external to IT - so that issues, processes, and solutions are understood.
  • Participates in executive meetings, presents, and independently gathers data to assist executives in making operational and administrative decisions.
  • Manages highly confidential information including financial, HR, and personnel information. Completes self-audits on a recurring basis to ensure compliance with company data classification guidelines and policies.
  • Leads sessions and orientation for end users regarding current and modified processes and new functionality.

Required Qualifications

Experience : 2+ years of administrative experience in a medium to large office environment.

Education : Some college is preferred. Any suitable combination of education and experience will be considered.

Preferred knowledge, skills or abilities

  • Proficient in Microsoft Office, particularly Word, PowerPoint, and Excel.
  • Strong communication, organization, and time-management skills.
  • Ability to prioritize effectively.
  • Ability to collaborate and communicate with individuals in all levels of the organization.
  • Ability to analyze and anticipate the needs of supported staff members.
