Position Summary : Under the general supervision of the Director of Enhanced Rate Equitable Services (ERES) Request Unit , with latitude for independent initiative and judgment, the Docketing Coordinator Enhanced Rate Equitable Services (ERES) Request Unit is responsible for the docketing of enhanced rate equitable service requests while also providing legal support through the review and subsequent determination.

Key Relationships : Works closely with the Director of ERES Request Unit, Senior Advisor, Attorneys, Case Management and Senior Director of the Impartial Hearing Office, as well as staff from the OGC’s Special Education Unit and Special Education Case Management team, as well as the Special Education Office’s Committees on Special Education.
Responsibilities
- Corresponds with parents and their representatives, including public advocacy groups and attorneys regarding the docketing of enhanced rate equitable service requests.
- Conducts preliminary outreach to stakeholders, e.g., parents and their representatives, public advocacy groups, and New York City Public Schools (NYCPS) staff, to garner additional information and documents as required.
- Corresponds with parties regarding deficiencies in their submissions to ensure that all information and documentation necessary to process enhanced rate equitable service requests are submitted.
- Maintains correspondence with families and / or their representatives regarding requests for enhanced rate equitable services.
- Provides support in conducting outreach to filers.to ensure submission of a complete request package.
- Works closely with Director, Senior Advisors, Attorneys, Deputy General Counsel and NYCPS staff to maintain office procedures and protocols.
- Assists with training of new permanent and temporary legal staff.
- Maintains and updates training materials.
- Manages shared email inboxes owned by the ERES Unit for enhanced rate equitable service requests and inquiries.
- Reviews, assigns, and processes enhanced rate equitable service requests and supporting documentation.
- Works to ensure accurate data entry.
- Identifies documents in need of translation and submits requests for translation.
- Escalates issues to the Senior Advisor, Director, Attorneys, and of the ERES Unit.
- Coordinates with the Division of Instructional and Information Technology regarding the creation and reconciliation of student profiles.
- Coordinates with the OGC’s Due Process & Analytics team for technical support relating to the use of ERES Unit’s docketing software.
- Reviews, organizes, and processes supporting documentation.
- Uploads fillings, supporting documents, and student records to the ERES docketing system.
- Coordinates notification of enhanced rate equitable services request to the OGC’s Special Education Unit and the Special Education Office’s Committees on Special Education.
- Coordinates and conducts training sessions for parents and NYCPS staff.
- Maintains appropriate records on enhanced rate equitable services requests filed.
- Oversees the shredding and disposal of scanned documents.
- Utilizes and maintains docketing management system reports.
- Provides intake, data processing and case management support to the Impartial Hearing Office.
- Provides additional support as needed.
Qualification Requirements :
Minimum
- A baccalaureate degree from an accredited college and two (2) years of experience in community work or community centered activities in an area related to the duties described above; or
- High school graduation or equivalent and six (6) years of experience in community work or community centered activities in an area related to the duties as described above; or
- Education and / or experience which is equivalent to 1 or 2 above. However, all candidates must have at least one (1) year of experience as described in 1 above.

In addition to meeting the minimum requirements, individuals must have two additional years of the experience described in "1" above
Preferred
- Bachelor’s degree.
- Paralegal Certificate Holder.
- Knowledge of the NYCPS organizational structure as it relates to Special Education, e.g., knowledge of the Committees on Special Education, the Office of General Counsel, and the Division of Instructional and Information Technology.
- Experience dealing with child advocacy issues.
- Experience in Special Education.
- Knowledge of the Individuals with Disabilities Education Act and NYSED Education Law.
- Knowledge of NYCPS Systems, e.g., Impartial Hearing System (IHS), Automate the Schools (ATS), and the Special Education Student Information System (SESIS).
- Excellent communication and interpersonal skills.
- Ability to write clearly and concisely.
- Ability to understand provisions of applicable laws and regulations.
- Efficient legal research skills.
- Excellent time management skills.
- Ability to multitask and prioritize time sensitive tasks.
Salary : $69,844 - $74,591
Internal candidates who are selected for this position and who currently hold comparable or less senior positions within the DOE will not earn less than their current salary.)
