The Document Specialist is responsible for document management for Staff Counsel at The Hanover Insurance Group, including but not limited to mail, medical records, reports, and other file-related documents.

Flexible Schedule : Shift start times range from 7 : 30 AM PST 9 : 00 AM PST, 7.75 hour shifts with a 45 minute break.

Responsibilities / Essential Functions :
- Gathering, organizing, saving, naming, and indexing documents from multiple sources.
- Ability to compile or divide voluminous documents.
- Coordination with vendors for document processing.
- Assist with preparing PQME and IME packets.
- Process in-bound and out-bound mail in coordination with other office staff.
- Scan, save, calendar, and mail / serve / route documents.
- Move and maintain scanned documents into a designated storage area and retrieve same upon request.
- Perform visual quality checks on processed documents.
- Handle confidential documents and adhere to document destruction policies and procedures.
- Order medical records as needed.
- Work in-person in the law office a minimum of one day per week.
- Communications and coordination with managers, attorneys, paralegals, secretaries, vendors, and others.
- Assist with other tasks, as needed.
Essential Skills and Experience :
- Administrative and document handling experience preferred.
- Basic Claims and Staff Counsel knowledge and ability to identify documentation preferred.
- Ability to manage a consistent large volume of work in a fast-paced environment.
- Ability to apply and develop knowledge of basic personal computer applications.
- Communicates effectively.
- Ability to organize and prioritize.
- Easily adapts to new different or changing situations requirements or priorities.
- Dedicated to meeting the expectations and requirements of Staff Counsel.
- High school diploma or equivalent.
- Possess a high level of integrity and professionalism.
- Demonstrate the ability to comply with confidentiality guidelines.
- Accurate, detail-oriented and organized individual who can maintain a high level of quality.
- Ability to be flexible and adaptable to changing business needs and willing to learn new tasks as needs change.
- Ability to work as a team player and lend assistance and / or coverage to other members of the office, as needed.
