AA&D is comprised of the University Development Office (UDO), Faculty of Arts and Sciences (FAS) Development, AA&D Resources, the Harvard Alumni Association (HAA), and the Office of the Vice President (OVP).

This full-time non-exempt position coordinates the day-to-day functions associated with the acceptance of charitable contributions of assets other than cash or marketable securities, often referred to as complex assets or specials.

Working in close coordination with the Senior Director, as well as with stakeholders across and outside of the University, including relationship managers, internal and external legal counsel, and the Alumni and Development Services team, this position holds responsibility for the processes and functions needed for the acceptance, stewardship, and monetization of gifts of otherwise illiquid assets.

As a member of a two-person functional group, the Asst Director must have the ability for self-direction and a willingness to perform a wide range of responsibilities.

Position Description

  • Work with the Senior Director of Complex Gifts to maintain the University’s complex assets program, including the vetting and acceptance of complex and special non-cash assets, such as artwork, copyrights, real estate, private fund interests, and restricted securities.
  • Work with internal partners to enhance processes to monitor early-stage complex gifts and report on ongoing inventory activity.
  • Utilizing templates and previous agreements, create initial drafts of new gift agreements for review by the Senior Director.

Ensure appropriate gift files are maintained.

  • Create summaries of findings in response to internal and external inquiries.
  • Assist with intake and liquidation process for real estate gifts which are often time intensive and multi-faceted.
  • Assist with generating and circulating execution version of complex asset gift intake documents and coordinating signatures.
  • Maintain transparent data, records, and management reporting systems to monitor all areas of responsibility. Regularly monitor performance metrics to assist in program management and transparency across the University.

Works across several new and existing data platforms, recommending enhancements where needed.

  • Work with the Senior Director and ADS colleagues on accounting, crediting, and reporting relating to CAGS. In partnership with the ADS Gifts and Funds Accounting and Reconciliation (GFAR) team, ensure accurate and timely payments in support of complex asset gift portfolio.
  • Work with GFAR team to provide vendor information, including necessary tax and other identifying information, in connection with complex asset gift charges.
  • Work with the Senior Director and frontline relationship managers on donor outreach and stewardship relating to CAGS.
  • The above covers the most significant responsibilities of the position. It does not, however, exclude other duties, the inclusion of which would be in conformity with the level of the position.
  • Due to the evolving nature of this newly integrated structure and the operational needs of AA&D, these responsibilities may be adjusted in conformity with the level of this position.

Basic Qualifications

Bachelor’s degree or equivalent work experience required with a minimum of 3 years’ relevant work experience.

  • Must be professional, confidential, honest, and reliable, and possess the ability to work cooperatively as part of a team.
  • Must have the ability to deal effectively and courteously with people with varied background in all types of professional situations, including donors and alumni;

professional tax, legal, and financial advisors; and development, administrative, and academic colleagues from various parts of the University.

  • Must possess strong communication skills, both verbal and written. Must possess the ability to compose, proofread, and edit technical materials and correspondence.
  • Highly organized and have the ability to balance multiple current projects in a fast-paced environment.
  • Must be detail oriented and able to produce accurate, high-quality work by set deadlines.
  • Experience working with confidential data and solid computer skills in a PC environment with the capability to master new software applications and technologies in database management.
  • Capability to evaluate problems accurately and display sound and confidential judgment.
  • Familiarity with financial terminology and concepts preferred.
  • Interest in the legal and tax aspects of charitable giving preferred.
  • Experience with general and fundraising databases and software applications preferred, including BSR Advance, Sharepoint, Workfront, and the Microsoft Office Suite.
  • A level of familiarity with the University and its various parts is preferred. Should be able to understand, address, and balance the concerns and priorities of different Schools, administrative units, and affiliates.

Work Format Details

This position is eligible for 100% remote work. Employees may work from any of the Harvard Registered Payroll States, which currently includes Massachusetts, Connecticut, Maine, New Hampshire, Rhode Island, Vermont, Georgia, Illinois, Maryland, New Jersey, New York, Virginia, Washington, and California (CA for exempt positions only).

Certain visa types and funding sources may limit work location. Individuals must meet work location sponsorship requirements prior to employment.
