Job Description
The Office Manager for the Office for the Mission of Catholic Education (OMCE) is hired by the Director of Catholic Education and assists the director in providing leadership for the Catholic educational apostolate by planning and directing key OMCE operational and administrative functions.
The Office Manager will serve as the right-hand to the Director for Catholic Education, acting in concert with him and the defined strategic renewal priorities for the OMCE and the Archdiocese of Portland.
The Office Manager will perform all position responsibilities under the supervision of the Director according to the teachings of the Catholic Church and the vision of Archbishop Alexander K. Sample.
The Office Manager will be responsible on behalf of the Director for ensuring that the administrative functions of the OMCE are carried out seamlessly according to the OMCE and Archdiocese of Portland defined playbook, mission priorities, and goals.
The Office Manager will help drive the planning, execution, administration, and reporting of mission critical OMCE team projects, systems, and structures to release the Director to attend to strategic and macro mission-work as much as possible.
The position encounters frequent new and varied work situations with a high degree of complexity, operating from both established and well-known procedures and determining own practices and procedures.
The Office Manager is expected to operate independently with minimal supervision, providing timely reports, and reviewing confidential and / or sensitive issues with the Director of Catholic Education.
Contacts are made inside and outside the Pastoral Center and throughout the Archdiocese, mostly by phone and email.
1. Drives the planning, administration, execution, and reporting of OMCE projects, systems, and structures to foster a mission-driven and success-oriented team effort, and accountable environment.
2. Serves as the OMCE and Director's lead on communications and liaison to Pastoral Center departments, pastors, school leaders, and other external partners and constituents.

4. Protects and maintains the confidentiality of all records, programs, meetings, and information involving the archdiocese in general, the OMCE, and Catholic Schools ministries.
5. Performs other work-related duties as assigned by the Director or their Assistant in their absence.
Qualifications :
- Practicing Catholic in full Communion with the Catholic Church, who assents to the Church's teaching and supports the Archbishop's teaching and vision, and lives in conformity with Church teaching according to their state of life.
- Bachelor's Degree with 2- 4 years of related experience or equivalent training and / or education or equivalent combination of education and experience which demonstrates the knowledge, skills and abilities to perform the above-described essential functions.
- Prefer some experience with Catholic schools or nonprofit organization(s).
- Spanish language proficiency desired.
- Proficiency with Microsoft applications (Word, Excel, PowerPoint, Teams) or ability to learn to use them.
- Knowledge of educational systems and processes.
- Strong critical thinking, analytical and conceptual abilities.
- Excellent organizational and communications skills with the ability to produce accurate correspondence and reports in a timely fashion, as well as organize files, events, and materials in a successful manner.
- Excellent verbal and written communication skills.
- High level of accuracy and attention to detail.
- Problem solving, discretion, and interpersonal skills needed.
- Proficiency with appropriate electronic systems and programs, including experience developing and administering databases.
- Ability to present complex information in a manner that reaches audiences of all levels of knowledge.
- Must hold a valid driver's license and be able to travel to various parishes or parts of the Archdiocese of Portland, as needed.
Physical Demands :
While performing the duties of this job, employees are required to stand, walk, finger, talk, reach, perform repetitive motions of the hands / wrists and feet, sit, grasp, hear, and handle.
Must be able to push, pull, lift, and carry items up to 40 pounds.
