HR Administrator
Position Summary
A Japanese food and alcohol beverage distributor is seeking a bilingual HR Administrator. In this role, you will handle administrative tasks such as creating and maintaining employee profiles in the HRIS system, preparing documents for new hires, and ensuring compliance with employment laws and company policies.
Additionally, you will assist with payroll functions, coordinate benefit enrollment, and process vendor bills promptly. Business-level Japanese or Chinese is required.
Essential Duties
- Performs administrative and clerical support tasks.
- Prepares paperwork needed to create new employee profile and sets up the employee profiles in the HRIS system
- Supports HR team for compliance with federal, state, and local employment laws and regulations, and company policies.
- Establishes and maintains accurate and up-to-date human resource files, records, correspondences, master files, organization charts, reports, and other documentations.
- Updates relevant SOPs and keeps all current.
- Reviews and processes agency and vendors bills in a timely manner.
- Prepares documents for new hires, employee visa applications, employee movement, and benefit enrollment.
- Responds and assists various requests from managers, employees, and others.
- Maintains all logs / records for internal audits and external compliance.
- Rolls out online training and monitors the progress to ensure the completion by the deadline.
- Conducts or assists with record audits and mandatory reports, which may include I-9 audits, EEO-1 filings, payroll audits, and other compliance reviews.
- Performs periodic audits of HR files and records to ensure that all required documents are collected and filed appropriately.
- May assist with payroll functions including processing, answering employee questions, fixing processing errors, and distributing checks.
- Attends company event as required.
Working Hours & Style
M-F; 8AM 5PM (30 min lunch); OT as needed
Up to 2 days a week remote work may be possible after successful completion of the introductory period.

Salary
$25 - 30 / hour DOE
Qualifications
- Business-level English (read, write, speak, listen) is required.
- Business-level proficiency in Chinese or Japanese (read, write, speak, listen) is required.
- A Bachelor’s degree in Business or a related field is required.
- A minimum of two years of relevant experience is required.
- Ability to work independently and collaboratively in a team environment.
- Adaptability to changing assignments and workload fluctuations.
- Strong verbal and written communication skills, with excellent interpersonal abilities.
- Exceptional time management and organizational skills, with a proven track record of meeting deadlines.
- Meticulous attention to detail.
- Proficiency in payroll management, HRIS systems, or the ability to quickly learn new computer applications.
- Strong analytical and problem-solving skills.
