Description
The Administrative Assistant performs clerical duties for the Program Director and coordinator, giving assistance with program implementation, including telephone and personal contact with the refugee community.
Performs data entry tasks, generates monthly reports, and assist with the demands of Comprehensive Refugee Services (CRS), based on contract requirements.

- Assist with Intakes Assessments and data entry when needed.
- Accept and screen incoming telephone calls and provide appropriate and accurate information.
- Facilitate incoming daily mail and direct it to the appropriate department / personnel.
- Work in conjunction with the Program Director to coordinate and schedule his / her appointments.
- Prepare correspondence for Program Director and Program Coordinator approval and signature.
- Maintain a program calendar of appointments, meetings, and events.
- Complete all necessary program forms and enter the information into the CCCF computer system, including WEB-RS.
- Assists the Program Director and Coordinator in the upkeep and maintenance of an organized filing system for agency records.
- Assist administration in all phases of program services and development.
- Assist in the development and expansion of resources for the program.
- Translate and interpret as needed.
Requirements
EDUCATION and EXPERIENCE
The Administrative Assistant must have a High School diploma. Have at least 3 years of experience in secretarial work in an office setting.
Some college is preferred. Have the ability to communicate effectively in English and Spanish both verbally and written.
