This position will work a hybrid schedule which is a combination of working onsite on Campus and Remote.

DESCRIPTION

Under general supervision, the HR Assistant will process employment related transactions and provide transaction support for one or more client groups.

Entries are made in UC Path, Onboarding Solutions and other HR Systems to support various employment actions such as processing new hire / position change transactions for both staff and students, updating and maintaining position information, and supporting pay / benefits questions / discrepancies from employees.

They assist in troubleshooting and resolving timekeeping and payroll issues, in coordination with HR colleagues, UCPath Center, and other members of the Integrated HR Services team and attend meetings and trainings on timekeeping and payroll to keep up-to-date and provide feedback to employees and client groups.

They assess and recommend modifications to existing processes and procedures, and may support other human resources functions as needed.

The HR Assistant communicates both verbally and via email with employees, supervisors, the UC Path Center, and others in Payroll and HR to facilitate the resolution of questions and requires a high level of customer service and attention to detail.

Occasional overtime as needed.

Demonstrated skill to define complex procedures and actions.

Strong analytical and critical thinking skills to identify problems and develop innovative solutions. Proven ability to exercise discretion and independent judgement and maintain strict confidentiality.

Ability to maintain objectivity when dealing with sensitive personnel issues and problematic situations.

Demonstrated ability to learn new methods for computer aided data reporting / retrieval, new computer applications, data and word processing software and relational database systems.

Demonstrated skill to extract, compile and analyze data to write clear and concise reports.

Basic understanding of human resources policies and programs. Ability to interpret policies and procedures relevant to payroll and employment for represented and non-represented employees.

Proven ability to analyze complex pay records, personnel forms and payroll time records to initiate payments and prepare timesheets.

Proven experience with timekeeping and payroll reporting processes, including overtime and audit reporting.

Ability to work independently with minimal supervision; initiation to follow-through to completion of all duties.

Skill using standard computerized, networked business applications : word processing (e.g. Microsoft Word), spreadsheet (e.

g. Excel), communications and scheduling (e.g. Outlook), with the willingness and ability to expand and update skills as needed.

Willingness and demonstrated ability to embrace and consistently uphold the principles of community for a collaborative work environment.

SPECIAL CONDITIONS

Job offer is contingent upon satisfactory clearance based on Background Check results.

This position has been identified as a Mandated Reporter pursuant to the California Child Abuse and Neglect Reporting Act and requires immediate reporting of physical abuse, sexual abuse, emotional abuse, or neglect of anyone under the age of 18.

It is the responsibility of the Mandated Reporter to ensure that they obtain proper training in order to fulfill their reporting responsibilities as required by the California Child Abuse and Neglect Reporting Act and University policy, and to complete and submit the required reports to the UC San Diego Police Department without delay.

Pay Transparency Act

Annual Full Pay Range : $40,700 - $81,850 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent : $19.49 - $39.20

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs.

The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position.

The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
