Minimum Candidate Qualifications :
a. Three-years' experience working directly for a person in an executive position as an administrative assistant.
b. Eligible to work in New York State experience.
Duties include, but are not limited to, the following :
- Must provide high-level administrative support by conducting research, preparing statistical reports.
- Perform clerical functions such as preparing correspondence, receiving visitors, arranging conference calls,
- schedule meetings and organization / reconciliation of travel for Executives.
- Knowledge of office administration and management; proper grammar, punctuation, and spelling; business
- communications and ability to take notes is necessary; Maintain office supply inventory.
- Manage confidentiality and proper filing of sensitive matters.
- Answer and manage phone calls, screen and direct calls to the appropriate staff.
- Perform special assignments, studies and routine administrative functions as specifically directed; Screen incoming correspondence, refer to appropriate staff, and follow up to assure timely response.
- Perform related duties as required.
In addition, the candidate must possess and / or have the ability to :
- Work individually and as part of a team.
- Track and manage reporting projects without daily oversight.
- Excellent verbal communication, writing, and interpersonal skills.
- Strong project management skills, including experience managing multiple time-sensitive, complex projects.
- simultaneously.
- Detail-oriented with the ability to organize and prioritize tasks effectively in a fast-paced environment.
- Proficiency with Microsoft 365, including working experience with Excel, WebEx, MS Teams and Zoom.
- Manage various tasks as assigned.
- Experience managing travel and other business expense reimbursement for senior staff including working in the
- Statewide Financial System (SFS)
Miscellaneous Information :
- Shift Days / Times : Monday to Friday, 9 : 00 AM to 5 : 00 PM.
- Client does not provide parking, but the office is accessible by subway or bus.
- Interviews will be conducted Online or In-person based on the availability.
- Training will be provided.
