Vintage Realty Corporation is seeking an Administrative Assistant to join the Commercial Property Management team. The Administrative Assistant will be responsible for providing administrative support to various Property Managers within the department.
The successful candidate must have advanced computer skills, be highly organized, and able to handle many details and challenging situations simultaneously.
Responsibilities / Skills / Duties :
- Reception duties including but not limited to greeting guests and dispatching calls
- Invoice Reconciliation
- Responding to tenant inquires
- Monthly Credit Card Reconciliation for assigned Property Mangers
- Maintain Security access cards
- Track and circulate Lease Documents (Renewals & New Leases)
- Filing
- Office Supplies list
- Organize the filing cabinets (catalog and warehouse old files)
- Tenant Handbooks
- Insurance monitoring
- Customer Service and follow up calls
- Vendor Application Screening
- Key Inventory
- Assist various Property Managers as needed
- Additional responsibilities as assigned
Qualifications / Experience Requirements :
- 1-year administrative experience
- Working knowledge of Property Management or related field
- Ability to multitask and stay organized in a fast paced environment
- Excellent communication skills
- Proficient in Microsoft Office Suite
- Detail Oriented
