Job Description
The Administrative Assistant ensures smooth office operations, supports onboarding and employee engagement, and assists with coordination of daily team tasks. The ideal candidate has an excellent attendance record, is highly organized, detail-oriented, and able to manage multiple priorities as needed.
Reports to : HR Manager
Key Responsibilities
- Manage mail handling, phones, scanning, documentation, and shipping / receiving (daily / as needed)
- Maintain hardware and office supply inventory; track equipment receipts / returns and disposal
- Coordinate birthday announcements, cards, Fun Friday postings, community acknowledgements and event setup
- Assist in preparation and distribute newsletters, meeting notes, and general communications
- Support conference shipping and promotional activities
- Document and update spreadsheets and SOPs as needed
- Assist with new hire emails, reminders, and calendaring
- Support local onboarding setup and employee engagement initiatives as needed.

Organization & Time Management : Ability to prioritize and manage multiple tasks efficientlyCommunication : Excellent written and verbal communication skills for interacting with staff, vendors, and clientsTechnical Proficiency : Proficient in Microsoft Office Suite (Excel, Word, Outlook), and office equipmentAttention to Detail : High level of accuracy in documentation, data entry, and coordinating tasksProblem-Solving : Ability to resolve issues independently and support process improvementsConfidentiality : Handle sensitive information with discretionMust be able to lift at least 50 pounds as needed.
