Summary
The Finance and Administrative Assistant is a full-time position that reports directly to the Executive Director. This position will support the Donor Relations Manager and the Foundation Finance and Operations Director. Support for the Donor Relations Manager will include assisting with the administration of the Foundation’s revenue database, gift records, and tax / acknowledgement processes. The individual’s attention to detail will ensure that the Donor Stewardship Guarantee is upheld. They will perform various office management tasks as well as lend support to members of the Foundation team as needed. Support for Foundation Finance and Operations Director will include participating in the accounts payable process, preparing ROI reports, providing audit and 990 support, and assisting with preparing the monthly financial statements. Other supporting tasks may include programming sale discounts on the Square Point of Sale system, updating SharePoint team news, assisting with Warehouse sales and other Home Store related tasks. This role will also help provide administrative support for Foundation events. This position requires maturity, soft skills, good communication, computer skills and an understanding of databases and accounting.
Essential Duties & Responsibilities
Assist with visitors, telephones, and donors, and demonstrate excellence in stewardship and customer service with volunteers, vendors, staff, etc.Process over-the-phone credit card donationsAssist with the timely processing of online and mailed donationsAssist with the timely and accurate maintenance of constituent and gift recordsAssure the Four Seasons Foundation Donor Stewardship Guarantee is always metAssist with the monthly audit of Raiser’s Edge gift detail report to prepare for posting to Financial EdgeAssist with timely and accurate correspondence to donors with appropriate letters including acknowledgments, receipts, reminders, sponsorship pledges and invoicesAssist with Foundation Gifts-in-kind donations and documentationAdhere to Four Seasons Foundation and IRS policies and procedures for gift accounting standardsUtilize expertise in Raiser’s Edge, including the ability to produce queries and reports, and update records for donors, events, and appealsAssist with mailings by creating queries and organizing volunteers as neededMaintain integrity of dataReview monthly EMR death reports to ensure Raiser’s Edge deceased donors are currentAssist with maintaining donor filing system, including printed files and documentationAttend training classesProvide administrative support for events and assist with event registration and organizing suppliesAssist with the timely and accurate preparation of financial statements, general ledger, and balance sheet using the Financial Edge accounting softwareAssist with Accounts Payable processesAssist with Cash Receipts processesAssist with fulfilling audit and 990 requests on timeAssist with Square Point of Sale system including coding discounts for salesMaintain confidentialityAdhere to the values of the organizationSpecial projects and additional duties as necessary / assignedAttend Foundation meetings and committees as neededKnowledge, Skills, and Abilities

Education :
Associates Degree in accounting, finance, or business-related major preferredExperience :
Minimum of five years of experience in office management, database management, or bookkeepingMinimum two years of experience as an administrative assistantRaiser’s Edge, Financial Edge, QuickBooks or similar software experience is a plusDatabase management experience is helpfulLicensures & Certifications :
