Insight Global is seeking an experienced Office Manager / Admin to support a technology driven philanthropic organization based in Washington D.C.
This is an onsite role that will work in an office setting 5 days per week, Mondays-Fridays.
About the Role
We are seeking a proactive, organized, and personable Office Manager / Administrative Coordinator to support our client's 25–30 person office during a parental leave coverage period. This is a hands-on role that ensures smooth day-to-day operations, fosters a positive office culture, and provides light executive support when needed. The ideal candidate thrives in a collaborative environment, communicates effectively, and takes initiative without waiting for direction.
This is a temporary role from October 2025 - February 2026 with opportunity to convert to a fulltime employee based off performance.
Key Responsibilities
- Office Operations & Culture
Serve as the first point of contact for visitors and manage secure visitor systems.
Maintain office cleanliness and conduct walkthroughs to ensure a professional environment.Stock office supplies and snacks; manage vendor relationshipsCoordinate monthly office lunches and assist with planning modest team events (e.g., holiday party, team bonding activities).Communicate building updates, manage parking passes, and liaise with building management for access and event coordination.Provide backup support for IT facilities booking systems (training provided).Administrative SupportAct as receptionist and manage general inquiries.
Assist with light scheduling and calendar coordination for executives as needed.Support COO / SVP during parental leave coverage for the current admin lead.Coordinate catering for executive meetings and retreats.Project & Event CoordinationRun small projects independently and ensure timely completion.
Communicate proactively with leadership and the broader team to keep everyone informed.Help organize internal events that promote engagement and team culture.Requirements :
Must have a completed High School Diploma or GED; Advanced education (Associates, Bachelors degrees, etc) is preferred.Proven experience as an Office Administrator or related roleProven organizational and project management skills.Ability to work independently and proactively.Experience with office administration and vendor coordination.Strong written and verbal communication skills; Friendly, approachable, and enthusiasticPreferred Skills :
Prior experience as an Executive Assistant, or related role supporting C-Level executives is preferredProject management certifications or related are preferredPrior financial services industry experience is preferredAdditional Details
