General Purpose : Responsible for performing routine administrative duties including answering telephones, providing exceptional service to Members and guests, and assisting department heads with projects and tasks as assigned . Represents the Club on multiple levels across the communications spectrum, including the receptionist desk.
Essential duties include but are not limited to :
- Report to work and clock in / out for scheduled shifts and required breaks on time and within PVGC dress code requirements
- Maintain personal grooming in compliance with Club appearance standards
- Approach all interaction with Members, guests, and colleagues in a courteous, service-oriented manner
- Remain attentive, friendly, helpful, courteous, and respectful to Members, guests, managers and fellow employees at all times
- Maintain understanding of Club history, amenities, current events, hours of operation, food & beverage offerings, etc.
- Greet each Member, guest, and visitor who enters the facility and provide guidance as needed
- Answer inquiries via phone, e-mail, and in-person from Members, guests, visitors, vendors, etc.
- Take restaurant reservations and coordinate such with F&B management team
- Assist with receiving and processing dining room to go orders; transfer call to F&B team for assistance as needed
- Maintain communications and appointment logs
- Assist with gift certificate records and distribution channels
- Maintain Lost & Found; log items with date received and donate items after 30 days
- Collect, sort, distribute and prepare mail, messages and courier deliveries; assist with the distribution of mailings and surveys
- Ensure clubhouse monitors are up-to-date with current and upcoming events
- Maintain telecommunications systems
- Maintain an orderly and organized office supply cabinet and advise Accounts Payable of needed supplies; create and manage office supply inventory
- Transmit information or documents to Members or Vendors via computer, mail, or facsimile
- Field complaints from Members and the public with support of applicable managers
- Assist with filing and maintaining records, to include Club archival information
- Assist with and remain current with Club's internet presence, to include social media posts, search engines, etc.
- Assist senior management with graphics, administrative, and clerical tasks as requested
- Assist other departments as needed, to include :
Administration : Record filings, mailings
Executive Services : Flyers, articles, invitations, posters, special eventsFood & Beverage : Menu printing, food labelingCatering : BEO development and printing, coordination and communication between departments, client communicationsHelp promote a safe work environment in all facets of the operationAttend trainings and meetings as required / requestedFollow all Club policies, systems, controls and proceduresPerform other duties as assignedQualifications & Skills :
