Overview
Saint James School of Medicine is a family-owned medical school serving a diverse, mission-driven student body. The MD program is based in Saint Vincent and the Grenadines in the Caribbean and the administrative support office is headquartered in Park Ridge, Illinois. SJSM is one of the larger Caribbean medical schools by enrollment, with more than 800 alumni practicing in the United States and Canada.
We are seeking a dedicated and experienced Clinical Program Coordinator to join our team. The ideal candidate will play a pivotal role in overseeing clinical programs.
Duties
- Assist in managing clinical students with special reference to updating their placement schedule in student databases.
- Assist in organizing student files with a special reference to keeping students paperwork organized and in a presentable format.
- Electronically organize all clinical paperwork and assist with other electronic filing as needed.
- Prepare clinical packets for clinical students, preceptors, and hospitals (tentative).
- Assist with preparing announcements connected to the Clinical Department.
- Assist in the preparation of graduation and residency documents.
- Participate in weekly Clinical Staff Meetings and assist in the clinical committee meetings.
- Monitor and update student clinical schedules.
- Send out weekly logbook reminders.
- Input end-of-rotation evaluations into PCR as well as into the Exchange.
- Process monthly paperwork for students starting rotations.
- Participate in Clinical Student Orientations, site visits & organizing welcome Materials for students
- Check end of rotations requirements for Logbooks and cases; completed weekly and as needed.
- Monitor and update the Student Remediation Tracker.
- Monitor and update student clinical schedules using Fresh Desk, Medtrics, and PCR.
- Prepare Letters of Good Standing on an as-needed basis.
- Process tickets via FreshDesk and maintain a 24-48 hour response time.
- Other duties as requested.
- Some travel to hospitals and other sites will be required.
Qualifications :
High school diploma or equivalent required. Associate or bachelors degree preferred.2+ years of experience in administrative, student services, scheduling, or customer support role preferred.Strong customer service orientation with a calm, professional phone and email manner.Excellent communication skills, both written and oral.Proven accuracy with data entry and document management.Proficiency with Microsoft Excel and Word, and Google Workspace. Comfortable learning new systems quickly.Experience with any ticketing system.Strong organizational skills. Able to manage multiple deadlines and prioritize deadlines.High attention to detail for compliance paperwork, evaluations, and schedules.Reliable follow-through. Consistently meets a 24 to 48 hour response standard.Ability to travel locally to hospitals and clinical sites as needed.Benefits :
