Role Description
This is a full-time, on-site role for an Office Manager at our St. Charles, IL location. The Office Manager will be responsible for overseeing the daily operations of the office. This role requires strong leadership skills, in-depth accounting knowledge, and the ability to manage both people and processes effectively. The CPA Office Manager will ensure accurate financial reporting, maintain regulatory compliance, supervise staff, and contribute to the overall efficiency and growth of the firm.
Key Responsibilities :
- Manage all office workflow- responsible for making sure everything leaves the office in a timely fashion and is appropriately documented ex. payroll reports, tax returns, tax notices, etc. including updating and maintaining accurate Office Tools logs.
- Manage all incoming documents and ensure information is properly recorded and distributed in a timely manner.
- Schedule appointments for professional staff - avoiding conflicts and monitoring the conference room availability.
- Typing of any client correspondence from professional staff.
- Log all mail correspondence- make sure all tax notices and any other correspondence has been properly scanned.
Office Management :
Supervise and coordinate administrative and accounting staff activities.Develop and implement office policies, procedures, and workflows to improve efficiency.Monitor office budgets, supplies, and resource allocation.Oversee scheduling, calendar management, and client communication.Ensure the office meets all regulatory and operational compliance requirements.Staff Supervision & Development :
Recruit, train, and evaluate staff performance.Assign workloads and ensure team members meet deadlines and quality standards.Foster a positive and productive work environment.Conduct performance reviews and provide professional development opportunities.Client Relationship Management :
Serve as the primary point of contact for client inquiries and service issues.Build and maintain strong relationships with clients.Assist in onboarding new clients and managing client expectations.Qualifications :
Minimum 5 years of experience in office administration, with at least 2 years in a supervisory or management role.Strong understanding of accounting concepts and tax deadlines.Excellent organizational, leadership, and interpersonal skills.Strong analytical and problem-solving abilities.Exceptional attention to detail and accuracy.
