An Executive Administrative Assistant provides high-level administrative and organizational support to senior executives, handling tasks such as managing calendars, coordinating meetings, preparing documents and correspondence, arranging travel, managing communications, and maintaining records.
Pay range : $55-65 / hour
Contract until December 2025
Core Responsibilities
- Calendar Management : Scheduling appointments, meetings, and managing calendars to optimize executives' time.
- Communication Management : Screening and directing phone calls, managing incoming emails and correspondence, and acting as a liaison between executives and other stakeholders.
- Meeting & Event Coordination : Arranging and coordinating meetings, conferences, and other events, including recording and distributing minutes.
- Document Preparation : Preparing and editing correspondence, reports, presentations, and other documents using software like Microsoft Office.
- Travel Arrangements : Making all necessary travel arrangements, including booking flights and accommodations, and creating itineraries.
- Record Keeping : Creating and maintaining organized filing systems for documents and reference materials.
Additional Duties
Office Support : Performing office tasks such as ordering supplies, managing office inventory, and welcoming visitors.Research : Conducting research and gathering information to support executives in their decision-making.Confidentiality : Handling confidential and sensitive information with the utmost discretion.Project Assistance : Assisting with special projects and ad-hoc tasks as needed.Qualifications :
At least 7 years of experience supporting C-level executivesCommunication Skills : Strong written and verbal communication skills are essential for interacting effectively with various people.Organizational & Planning Skills : Excellent organizational and planning skills are necessary to prioritize and manage daily workloads.Technical Proficiency : Proficiency in Microsoft Office Suite and other relevant software is usually required.Professionalism : A high degree of professionalism, integrity, and discretion is expected.Interpersonal Skills : Superior interpersonal skills are needed to effectively communicate with different audiences.Equal Opportunity Employer / Veterans / Disabled
