Minimum Qualifications
- 2-4 years' experience as a legal administrative assistant
- Experience in legal research, document maintenance and preparation
- Excellent speaking, writing and interpersonal skills
- Ability to communicate and work effectively with executive level management
- Strong organizational acumen, ability to prioritize and multi-task efficiently
- Proficient in Microsoft Office including Word, Excel, and Power Point
- Proficiency in Microsoft Teams and Sharepoint, a plus
- Notary in the State of Maryland, a plus
Duties
Scheduling of department, corporate, and operations meetingsMaintaining Central Legal Files, both paper and electronicInitial processing of requests received through the Legal Department MS Exchange inboxPreparing letters including, 401(k), stock issuances, business travel, etc. as well as maintaining the Legal Department's letter-logResponding to general requests from the Legal Dept's attorneys for administrative support, e.g., check requests, ordering supplies, FedEx air bills, following up on outstanding matters assigned to Operations for closure, etc.Coordinating messenger / delivery with agencies / embassies / etc. in support of international business travel and other legal mattersCoordinating signatures of executives on corporate / corporate subsidiary documents and distributing final signed documents to the end-user via email and / or mail deliveryProcessing documents for notary, apostille and Embassy certifications, as needed.Maintaining a central library for legal forms, FAQs and contractsMaintain information / FAQs for proposal responses including litigation, officers, etc.Assist in the development and maintenance of the GP Legal intranet site.Managing monthly and quarterly legal invoices and purchase orders, as well as resolving processing and payment issues with accounts payable.Support the Company Secretary / Assistant Secretary in the preparation of board and committee minutes, shareholder meetings, governance documents, PowerPoint presentations, etc.Diversity comes naturally to us at GP Strategies.
