We’re hiring an Administrative Specialist to support our Administration team through effective lease management, business services coordination, and cross-departmental collaboration that keeps our operations running efficiently.

This role is ideal for someone who thrives in a fast-paced environment, takes initiative, and enjoys ensuring that every detail — from lease tracking to vendor relationships — is handled with precision.

What You’ll Do :

  • Maintain and reconcile the lease system of record, ensuring all data is accurate and up to date.
  • Track key lease milestones, such as accelerations, security deposits, and renewals.
  • Develop and manage dashboards and reports that enhance visibility into financial and portfolio data.
  • Coordinate with Accounting, IT, and third-party vendors to ensure timely payments and expense allocations.
  • Support office openings and closures, including managing utilities, signage, and vendor coordination.
  • Manage business licenses and insurance recertifications, ensuring full compliance with state and local regulations.
  • Assist with Business Continuity Planning, including workflow tracking and Business Impact Analysis coordination.
  • Provide backup support to the Administration team and contribute to process improvement initiatives.

What You Bring :

  • 3–5 years of administrative or operational support experience, preferably in property management or business services.
  • Strong understanding of lease administration, vendor management, and accounting principles.
  • Proficiency in Microsoft Office Suite (Excel, Outlook, Word, PowerPoint) and database / reporting tools.
  • Excellent organization, communication, and problem-solving skills with strong attention to detail.
  • Ability to prioritize tasks, manage multiple projects, and collaborate across departments.
  • High school diploma or equivalent required; Associate’s or Bachelor’s degree in Business Administration or related field preferred.
