Position Overview
Harbor Health is seeking a highly organized and proactive Executive Assistant to support our CEO / Co-Founder at our Austin corporate office. This pivotal role requires a detail-oriented professional who thrives in a fast-paced startup environment and can seamlessly manage both executive support and administrative responsibilities. As the right hand to our CEO, you'll play a crucial role in ensuring operational efficiency while helping to build the foundation of our growing payvider organization. This position offers a unique opportunity to work closely with leadership during an exciting phase of company growth and be an integral part of transforming healthcare in Austin.
Position Duties & Responsibilities
Executive Support
- Manage the CEO's complex and dynamic calendar, scheduling meetings, coordinating appointments, and prioritizing time-sensitive matters
- Serve as the primary point of contact and gatekeeper for internal and external stakeholders seeking access to the CEO
- Prepare materials for meetings, including agendas, presentations, and briefing documents
- Coordinate domestic and international travel arrangements, including itineraries, accommodations, and logistics
- Handle confidential information with discretion and maintain the highest level of professionalism
- Anticipate the CEO's needs and proactively address potential scheduling conflicts or operational challenges
Administrative Responsibilities
Manage expense reports, invoices, and reimbursements for the executive-level needs.Coordinate and organize company-wide meetings, town halls, and special eventsDraft, proofread, and manage correspondence on behalf of the CEOMaintain organized filing systems for both physical and digital documentsSupport special projects and initiatives as directed by the CEOAssist with onboarding processes and office operations as the company scalesCoordinate with other departments to ensure smooth communication flow throughout the organizationDesired Professional Skills & Experience
Required Qualifications
5+ years of experience as an Executive Assistant supporting C-level executives, preferably in a startup or high-growth environmentExceptional organizational and time management skills with the ability to manage competing prioritiesOutstanding written and verbal communication skillsAdvanced proficiency in Google Workspace and presentation softwareProven ability to handle confidential information with discretion and sound judgmentStrong problem-solving skills and the ability to work independently with minimal supervisionFlexibility and adaptability in a fast-paced, evolving startup environmentPreferred Qualifications
Experience in healthcare, technology, or startup environmentsFamiliarity with project management tools and softwareBachelor's degree or equivalent professional experienceExperience supporting founders or managing cross-functional coordinationProactive mindset with strong anticipatory skillsPersonal Attributes
