Hiring Phase : COTE begins the hiring process, including resume screening and interviews, August 12 onwards.
Training Phase : The training phase is planned for two weeks in mid-September, Monday-Friday. The week of 9 / 15, training will run from 10am to 3pm in order to allow those who are currently employed to continue working. The week of 9 / 22, training will run from 10am to 4pm.
Pre-Opening : The Pre-Opening phase runs from Monday, 9 / 29 to Thursday, 10 / 2 and consists of Friends & Family services during normal dinner hours.
Grand Opening : The grand opening party will take place on Friday 10 / 3, and the restaurant will be open for service 7 days / week beginning on Saturday 10 / 4.
The Office Assistant is responsible for providing back-office operational support to the management team to ensure the administrative success of the business. They support hiring and onboarding, and are solely responsible for administrative success, including supplies, ordering, compliance, and permitting functions at the direction of the People & Culture. They are also responsible for organizing the office and back-of-house storage areas, along with completing all other tasks as directed by operations.

- Organizes and maintains the appearance of the office space and all back of house storage areas.
- Maintains and enforces office rules & guidelines.
- Issues employee locker assignments and audits the locker records monthly. Organizes quarterly locker clean outs.
- Maintains office supply inventory and reordering.
- Oversees office equipment including printers, copy machines, computers, paper shredders, and iPads. Places services calls and troubleshoots issues.
- Liaises and places service calls with IT for all IT and tech issues.
- Responsible for keeping office and operational supply purchases at budget.
- Performs monthly audit of company permits to ensure restaurant permits are up to date, and fire safety and annual inspections. Reports upcoming expirations and issues to the General Manager and Chef de Cuisine.
- Organizes staff enrichment programs, employee bonus benefits, and team outings.
- Maintains organized employee records by filing, digitalizing, and managing documentation in coordination with the People & Culture department.
- Assists in preparing employment-related letters and processing unemployment and workers’ compensation claims, supporting Office Admin as needed.
- Supports payroll processing and benefits enrollment by organizing and maintaining records of employee participation, personnel actions (e.g., hires, promotions, transfers), and performance review schedules.
- Conducts routine audits at the direction of People & Culture to help ensure compliance with federal and state regulations, including I-9 verification.
- Updates employee information such as pay rates, employment status, and personal details in internal systems.
- Supports daily payroll reports and reviews timecards, schedules, and end-of-shift reports to ensure payroll accuracy.
- Records and processes all employee reimbursements / receipts at the approval of Finance.
- Assists with additional tasks as dictated by the management team.
