Position Overview :
The Front Desk Administrator is the first point of contact for patients and visitors, responsible for ensuring a welcoming, organized, and efficient front-office experience. This role combines customer service excellence with administrative accuracy to support clinical operations and maintain smooth daily workflow across departments.
Key Responsibilities :
- Greet patients and visitors warmly, ensuring a positive and professional first impression.
- Check patients in and out of appointments accurately in the EHR system.
- Verify patient demographics, insurance eligibility, and collect copays or outstanding balances.
- Answer incoming calls, route messages appropriately, and manage voicemail follow-ups.
- Schedule, reschedule, and confirm appointments according to provider availability and policy.
- Maintain patient confidentiality and adhere to HIPAA and company compliance standards.
- Prepare, scan, and upload required forms and documents into the EHR.
- Coordinate communication between patients, medical assistants, and providers.
- Support billing and insurance coordination by collecting necessary documentation and assisting with claim inquiries.
- Assist in managing office supplies, mail, and administrative records.
- Contribute to a culture of courtesy, teamwork, and accountability.
Qualifications :
High school diploma or equivalent required; associate degree or prior healthcare experience preferred.1–2 years of front office, medical receptionist, or administrative experience in a healthcare setting strongly preferred.Strong communication, organization, and multitasking skills.Proficiency in electronic health record (EHR) systems and Microsoft Office Suite.Compassionate demeanor with a patient-centered mindset.Ability to handle confidential information with professionalism.Work Environment :
