Broad Functions : The Executive Assistant provides strategic administrative support to the CEO and Executive Committee, serving as a trusted partner in managing day-to-day and facilitating effective communication across all levels of the organization. This role requires exceptional organizational skills, discretion, and the ability to anticipate needs in a fast-paced environment.
Main Duties and Responsibilities :
1. Provide and lead support to both internal and external parties with a high level of professionalism and in a manner that reflects positively on the organization.
2. Handle sensitive matters with a high level of confidentiality and discretion, especially decisions directly impacting the global operations of the company.
3. Maintain daily calendar of meetings and events.
4. Prepare Word, Excel, PowerPoint presentations, agendas, reports, special projects and other documents in support of objectives for the organization.
5. Arranges travel and accommodations for executives. Prepare expense reports.
6. Screen incoming telephone calls; take and deliver accurate messages; respond to requests by gathering and providing information and referring non-routine calls to the appropriate staff.
7. Excellent communication and time management skills; proven ability to meet deadlines.
8. Ability to function well in a high-paced environment; performs additional duties as assigned by executives.
9. Assist with meeting / event organization and execution.
10. Additional duties as assigned by supervisor.
Skills and Qualifications :
1. High school diploma required; College degree preferred.
2. Seven – ten years of related experience required in working in an executive assistant role supporting C-Level executives.
3. Advanced Excel, PowerPoint, Word, and Outlook required.
4. Ability to communicate effectively and professionally.
5. Flexible hours as dictated by the needs of business for projects and meetings.
6. Bilingual a plus.

While performing the duties of this job, the employee is required to sit for extended periods of time. This position is performed within an office environment whose duties are primarily performed behind a desk. Employees in this position frequently operate a computer, read and write, file and interact with others in person, over the phone, and via other devices. They move about within the office to access file cabinets, documents, office machinery, and other equipment. They may also have to do some light lifting of supplies and materials from time to time. Occasionally move objects weighing up to 20 lbs., and sometimes, but rarely, up to 50 lbs.
