Role Description
The Executive Assistant to the CEO plays a critical role in supporting the CEO and executive team through administrative excellence, project management, and strategic coordination. This individual ensures that the CEO’s time, priorities, and communications are managed seamlessly while driving efficiency across internal operations and cross-departmental initiatives.
Ideal candidates are highly organized, proactive, and adaptable; capable of managing complex calendars, leading communication between teams, and overseeing projects with precision and discretion. This role requires strong interpersonal skills, impeccable attention to detail, and the ability to handle sensitive information with professionalism.
Responsibilities
- Manage the CEO’s calendar, travel, and daily schedule to ensure seamless time management and prioritization.
- Serve as the primary liaison between the CEO, internal team members, clients, and external partners.
- Draft, review, and manage business communications, presentations, and reports.
- Support company operations by overseeing invoices, billing audits, and office administration.
- Coordinate company-wide meetings, events, and celebrations, ensuring all logistics run smoothly.
- Build and maintain project and campaign timelines; track deliverables, milestones, and deadlines.
- Lead and document internal and client-facing meetings, ensuring clear follow-ups and accountability.
- Anticipate and proactively resolve operational or project roadblocks with practical solutions.
- Oversee recruiting, onboarding, and HR coordination, including PTO tracking and employee check-ins.
- Maintain confidentiality while handling personnel and company-sensitive information.
- Support client relationship management by tracking deliverables, preparing agendas, and maintaining open communication.
- Contribute to process improvements that enhance collaboration and efficiency across departments.
Qualifications
2–5 years of experience as an Executive Assistant, Chief of Staff, or in a similar operational support role.Exceptional organizational and time management skills with the ability to balance multiple priorities.Excellent written and verbal communication skills; professional and polished in all interactions.Strong project management experience and familiarity with tools like Basecamp, Notion, or similar.Proficiency with Google Workspace (Docs, Sheets, and Slides).High emotional intelligence and discretion when handling confidential matters.Experience coordinating recruiting, onboarding, and HR processes preferred.Background in marketing, public relations, or influencer-related industries is preferred.📍Charlotte, NC
