SUMMARY :
Analyzes and supports the development, implementation, communication, and administration of Lundbeck's benefit programs and policies. Identifies and implements tools and resources for program administration with a focus on developing, standardizing, and improving processes, procedures, and reporting capabilities. Ensures the data integrity and maintenance of employee and business information within all HR systems and processes, producing reports, metrics and guidance for compliance and decision-making.
ESSENTIAL FUNCTIONS :
General Benefits Administration :
- Responsible for day-to-day administration of health and welfare programs, such as health insurance, retirement plans, and other ancillary benefits.
- Contributes to providing guidance and counsel to HR Business Partners, managers, and employees on the provisions and requirements surrounding Lundbeck benefit programs, as well as federal and state regulatory guidance, including leave programs. Provides clear and concise responses to employee benefit inquiries. Refers unrelated inquiries, such as payroll questions, to the relevant department.
- Provides recommendations for solutions to special situations.
- Monitors eligibility, limitations, and restrictions of benefit plan participation and ensures compliance with both plan provisions and government requirements.
- Oversees the online benefit platform and administrator to ensure benefit data is accurate.
- Maintains relationships with insurance carriers, benefits broker, consultants, and third-party benefit vendors to ensure quality and efficiency of delivery of our benefit programs.
- Assists in creating and reviewing training and communication materials.
- Assists with compliance related benefit items such as non-discrimination testing, ACA compliance, COBRA, and federal / state / local regulations.
- Provides back-up support for 401(k) committee management.
- Manages the benefit invoice process for timely benefit invoice vendor processing.
- Documents and updates benefit processes as needed and when processes change.
Leave Administration :
In collaboration with leave vendor, interprets and administers leave programs and policies (STD, LTD, FMLA, ADA) in accordance with applicable federal and state employment laws.Manages leave of absence administration vendor and leave of absence activities of Global Business Services HR team, ensuring timely and accurate administration of these programs as well as pay accuracy.Collaborates with Sales Incentive Team to ensure complete and timely reporting leave activity for sales force.Analyzes and works with manager, employee relations, legal counsel to resolve unique leave issues.Stays at the forefront of new and updated federal / state / local leave laws to ensure compliance.Information Systems :
Writes, maintains and supports variety of standard and complex reports and analytics, utilizing appropriate current BI tools and partnering with internal analytics team.Maintains data integrity in systems. This includes developing and running audit queries, analyzing data, automating processes, and developing and implementing methods to ensure root source data quality.Interprets data, finds patterns, and makes business recommendations based on trends in data.Supports all HR systems including, but not limited to, researching and resolving HR system problems, unexpected results, or process flaws.Partners with Global Business Service team in Poland to ensure appropriate documentation and execution of HR tasks. Collaborates and provides feedback on HRIS initiatives for continuous improvement and implementation of technology to streamline and automate total rewards processes and programs.Supports a variety of compliance reporting including AAP, CA Equal Pay, IL EPRA, EEO, VETS and similar compliance reporting.Contributes to special projects as they arise.Open Enrollment :
Creates and updates open enrollment communications, benefits online platform, and benefit documents.Trains employees on benefit programs during Open Enrollment and New Hire Orientation.Troubleshoots and resolves employee enrollment issues at Open Enrollment and New Hire.Other duties as assigned.
REQUIRED EDUCATION, EXPERIENCE and SKILLS :
Accredited Bachelor's degree with 3 years of experience, associates degree with 5 years of experience or high school diploma / GED with 8 years of relevant experience in benefits program development and administration.Proven ability to establish rapport and work across all levels of organization and cultivate relationships including HRBPs, Global Business Services, Legal, and Finance.Demonstrated knowledge of pertinent federal and state regulations, filing and compliance requirements (i.e., ERISA, ACA, HIPAA, COBRA, FMLA, IRS, ADA, Section 125 regulations, 5500, Health Care Reform, Workers Compensation, Medicare, Social Security, DOL, FLSA, OFCCP).Experience actively managing leave of absence programs.Demonstrated cross cultural understanding and strong cross cultural communication skills to operate in a global, matrixed organization.Strong working knowledge of Microsoft Office Suite, especially Excel (vlookup, pivot tables, and other formulas).Strong mathematical skills, ability to analyze, draw conclusions, and present findings.Strong attention to detail.Ability to drive multiple projects simultaneously and regularly adjusting priorities.Ability to handle sensitive information and exercise sound judgement.PREFERRED EDUCATION, EXPERIENCE AND SKILLS :
Accredited Bachelor's degree in Human Resources or related field with an emphasis in business or finance.Industry certifications (CCP, CEBS, PHR, etc.).Experience working with and benchmarking Life Sciences / Specialty Pharmaceutical Organizations.Experience with Success Factors, BenefitFocus, and / or Dayforce payroll system.TRAVEL :
Willingness / Ability to travel up to 10% domestically. International travel may be required.The range displayed is specifically for those potential hires who will work or reside in the state of Illinois, if selected for this role, and may vary based on various factors such as the candidate's qualifications, skills, competencies, and proficiency for the role. Salary Pay Range : $85,000 - $99,000 and eligibility for a 10% bonus target based on company and individual performance.
