Overview
We are seeking an experienced Executive Assistant / Office Manager to the CEO to provide high-level administrative and operational support. This role will serve as the CEO's primary partner in managing his schedule, priorities, and communications, while also supporting office operations, HR processes, and special projects. The ideal candidate is proactive, detail-oriented, and able to thrive in a fast-paced, entrepreneurial environment.
Responsibilities
- Manage and optimize the CEO's calendar, travel, and meeting schedule
- Attend and document meetings, track action items, and ensure timely follow-up
- Monitor communications and prioritize requests to ensure efficient information flow
- Prepare documents, presentations, and reports as needed
- Oversee day-to-day operations of the Santa Monica office, ensuring a professional, well-organized environment
- Manage office supplies, vendor relationships, and team lunches
- Support HR processes, including onboarding, offboarding, and compliance tasks
- Assist with recruitment efforts by coordinating interviews and supporting the hiring process
- Plan and coordinate team events, off-sites, and company gatherings
- Lead and execute workplace improvement initiatives (e.g., technology upgrades, office design projects)
- Coordinate with external vendors and internal teams to ensure projects are delivered on time and within budget
- Manage and support remote virtual assistant teams to maximize efficiency
Qualifications
3–7 years of experience as an Executive Assistant, Operations Coordinator, or similar role, ideally within a startup or fast-paced environmentStrong organizational skills with excellent attention to detailAbility to handle confidential information with discretion and professionalismExcellent written and verbal communication skillsProven ability to manage multiple priorities and work independentlyStrong technical proficiency; comfortable with tools such as Notion, Slack, and project management platformsProactive and resourceful, with strong problem-solving skillsFlexible and adaptable in a fast-moving environmentStrong interpersonal skills with the ability to build relationships at all levelsHigh level of ownership, accountability, and discretionDetails
Schedule : In office from 7 : 00AM – 2 / 3 : 00PM Monday through Friday with flexibility required
Compensation : Up to $135K+, profit-sharing, healthcare coverage, etc.
