Position Summary :

The Finance Coordinator position is full-time, 40 hours per week (exempt, benefits eligible). The Finance Coordinator is responsible for day-to-day financial transactions, including facilitating collaborative efforts of the New Life Centers Finance team, bookkeeping tasks and assisting with the management of grant deliverables, receivables and expense tracking.

Pay commensurate with experience. This position can be a work from home position. Some on-site hours may be required.

Job Responsibilities :

Finance Day-to-Day :

  • Oversees daily task management for the Finance team, including facilitating or delegating completion of urgent requests from internal and external stakeholders to ensure timely and accurate submission
  • Supports AP Manager and Grant Accounting Manager with troubleshooting of systems or process issues
  • Coordinates recurring check-ins with each member of Finance team and organizes and leads department meetings
  • Reviews daily deposit activity to ensure Accounts Receivable Clerk has necessary support to record deposits in accounting system

Bookkeeping and Administration :

  • Responsible for bookkeeping relating to payroll transactions including processing of general ledger and dynamic allocation
  • Prepares and tracks adhoc receivables in Accounts Receivable module
  • Processes general ledger entries relating to grant expenditure adjustments or deletions for unpaid portions of grant vouchers
  • Inputs manual payments in Cash Management module relating to payments occurring outside of AP process
  • Supports VP of Finance with the administration of the organization’s insurance policies, including submission and handling of claims and adding or removing details to policies
  • Supports VP of Finance with submission of recurring tax returns, including sales tax reporting and 990
  • Supports payroll and HR with onboarding and offboarding of new hires

Grant Reporting :

  • Assist VP of Finance with finance related information and data for grant applications
  • Work with appropriate staff to monitor and identify grant spending deficits along with tracking of grant receivables
  • Provides assistance in post-award monitoring of grants and contracts for adherence to grant award guidelines

Other Duties :

  • Assists the VP of Finance as needed.
  • Provides support for the annual financial audit.
  • Supports the payroll, accounts receivable and account payable functions during peak activity seasons.

Skills & Qualifications :

  • Must become a Certified Mandated Reporter. Training provided.
  • Must pass a background check, must not have any pending cases.
  • Must pass a Child Abuse and Neglect Tracking System background check.
  • Must pass a National Sex Offender Registry background check.
  • Must have a working phone and phone number.
  • Associate’s degree in accounting or equivalent practical experience in fund-based accounting and account reconciliation preferred but not required.
  • Working knowledge of QuickBooks or Sage Intacct.
  • Precision in account reconciliation and report generation.
  • Cross-cultural competency.
  • Ability to communicate effectively both written and verbally.
  • Ability to effectively work independently, problem-solve, multi-task and take initiative.
  • High organization and detail-oriented skill ability.
  • Proficient in Microsoft Word and Excel.
  • Must be willing to be trained, and proficiently utilize database(s) and information tracking systems relevant to duties.
  • Must keep confidentiality of participant and staff information as well as all accounting records.
  • Ability to establish and maintain effective working relationships with others.
  • Must travel to site as requested.
  • Bilingual English / Spanish preferred but not required.
