Purpose

Under the direction of the Program Manager and Honors Director, provide coordination, planning, and support to the activities of the Moody College Honors Program.

Responsibilities

HONORS PROGRAM COORDINATION

In coordination with the Office of Admissions and the Program Manager, facilitate freshman and sophomore honors application review and admission processes.

Assist the Director in course planning; work with staff and advisory committee to forecast future course enrollment needs;

facilitate course proposal and selection systems and process; liaise with course scheduler to add courses to the schedule.

Track student progress through the program; assist Director in ensuring that students complete proper courses and associated processes each year, with particular attention to senior capstone options;

assist the Director in managing student petitions; identify students who fall behind program progress expectations.

Verify that graduating students meet program criteria; coordinate with advising staff to manage course / degree issues.

Monitor program email and respond to inquiries.

Schedule and attend honors committee meetings, take notes, and disseminate information.

Liaise with the Undergraduate Education events coordinator and the Moody College Admissions / Recruitment staff, as necessary to plan and execute Moody College Honors Program events.

Use Drupal tools to keep the Moody College Honors Program website update with current news, events, courses, etc., following Moody College and Undergraduate Education best practices.

Assist the Associate Dean and Program Director to implement new initiatives.

SCHOLARSHIP COORDINATOR

Under the direction of the Associate Dean and Program Manager, ensure that Moody College scholarship program priorities are achieved.

Assist the Associate Dean and Program Manager in identifying available honors scholarship support and assigning scholarships to incoming and continuing students.

Assist the Program Manager in the administration of the Moody College scholarship process in alignment with Moody College scholarship philosophy and goals.

Manage online scholarship application and records system to provide timely and accurate information to students, faculty, and staff stakeholders.

Accurately communicate scholarship process results, including creating and sending scholarship decisions.

In coordination with the Program Manager, serve as a consultant to the Moody College Development Office on endowment compliance and criteria validation for new endowments, gift agreements, or fundraising initiatives.

Maintain records of annual and multi-year scholarship offers.

In coordination with the Program Manager, ensure that selected recipients meet the criteria for assigned scholarships.

In coordination with the Program Manager and Moody College Development Office, facilitate thank-you letter / video collection process.

Monitor endowment balances to ensure optimal usage of funds.

Resolve incidental issues that arise during the overall scholarship process using independent judgement of best practices, consulting with the Program Manager when necessary.

Process scholarship payment documents.

Maintain scholarship records per university and Moody College policy.

Other duties as assigned.

Required Qualifications

Bachelor's degree. Five years of experience coordinating or administering a program . Experience performing complex administrative functions.

Demonstrated accuracy, initiative, attention to detail, and organizational skills. Ability to interact in a professional manner with staff, students, and the public.

Excellent interpersonal, written, and verbal communication skills. Proficient at the Microsoft Suite of applications, in particular Excel.

Experience working with budgets, expenses, or other financial tracking responsibilities. Demonstrated ability to exercise independent judgement based on experience and training.

Relevant education and experience may be substituted as appropriate.

Preferred Qualifications

Experience with UT applications such as VIP, Canvas, EASI, Advisors Toolkit or Slate. Knowledge of UT Austin or Moody College academic policies and procedures.

Experience giving presentations, both in-person and virtually, to a variety of audiences of students and parents. A high level of proficiency in Microsoft Excel.

Experience using the Drupal kit to create and edit web content.

Experience with UT policy and procedures relating to undergraduate student aid and scholarships.

Salary Range

$50,000 + depending on qualifications

Employment Eligibility :

Retirement Plan Eligibility :

The retirement plan for this position is Teacher Retirement System of Texas (TRS), subject to the position being at least 20 hours per week and at least 135 days in length.
