Administrative Assistant

We are looking for a highly organized and detail-driven Administrative Assistant to join our team on a contract basis in Kalamazoo, Michigan. In this role, you will support healthcare professionals and leadership by ensuring smooth day-to-day operations. This opportunity allows you to make a meaningful impact within the healthcare industry while building valuable administrative experience.

Responsibilities :

  • Provide comprehensive administrative support to healthcare teams, ensuring efficient operations and timely task completion.
  • Schedule and coordinate meetings, appointments, and events, both in-person and virtual, to maintain organized workflows.
  • Prepare, edit, and distribute reports, presentations, and documentation related to patient care and operational initiatives.
  • Perform accurate data entry and maintain confidential records, including patient and organizational information.
  • Assist with compliance-related tasks, such as preparing regulatory reports and ensuring adherence to healthcare standards.
  • Collaborate with various departments to optimize resources, improve processes, and contribute to operational efficiency.
  • Communicate professionally with patients, staff, and external stakeholders, providing excellent customer service.
  • Support healthcare leaders with administrative tasks tied to initiatives like documentation improvement and digital transformation.
  • Contribute to cost-containment efforts by streamlining processes and identifying efficiencies.

Requirements :

  • Previous experience in administrative roles, preferably within the healthcare sector.
  • Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
  • Exceptional organizational skills with strong attention to detail and time management abilities.
  • Effective written and verbal communication skills, capable of engaging with diverse stakeholders.
  • Ability to manage sensitive and confidential information with discretion.
  • Problem-solving skills and adaptability to thrive in a fast-paced environment.
  • High school diploma or equivalent required; an associate's or bachelor's degree in a related field is a plus.
  • Familiarity with receptionist duties, data entry, and answering inbound calls is advantageous.
