Job Summary

The Executive Assistant will be responsible for the smooth and efficient operation of the CEO’s office. Qualified candidates will have the proven ability to multitask, prioritize and run a highly organized office in a fast paced environment.

This Executive Assistant must be a quick learner, be flexible, have exceptional attention to detail and effectively navigate organizational complexity.

Primary Responsibilities

  • Schedule departmental meetings; assist in the preparation and distribution of meeting agendas and materials
  • Attend meetings and take notes of discussion; prepare detailed and highly accurate minutes of meetings and summaries
  • Prepare travel arrangements of the executive team including itineraries
  • Expertise in event planning at the executive team level
  • Maintain complex business calendars
  • Creating PowerPoint presentations, including basic graphical design, table and formatting media
  • Reception of guests / visitors when needed
  • Document preparation as needed
  • Maintain professionalism and strict confidentiality with all information
  • Perform clerical tasks such as filing, data entry and document management
  • Taking phone calls
  • Other duties as assigned

Job Qualifications

  • Bachelor’s degree preferred with at least 5 years of experience as an executive assistant
  • Experience in executive event planning and travel
  • Trustworthy with demonstrable ethical and moral standards
  • High level of professional integrity and confidentiality
  • Comfortable working a hybrid schedule based on business needs
  • Positive attitude
  • Sound judgment
  • Outstanding interpersonal skills
  • Proven ability to work well in a demanding environment
  • Proficient with Microsoft Office Suite
