Position : Payroll & Benefits Specialist

Report to : Payroll & Benefits Manager

Job Description Overview

The Payroll and Benefits Specialist will play a crucial role in managing the payroll and benefits processes for our diverse workforce, including both salaried and hourly team members.

This position requires strong analytical skills, attention to detail, and the ability to handle confidential information with integrity.

The successful candidate will collaborate with various departments to support our team members and ensure compliance with applicable laws and regulations.

Responsibilities

  • Payroll Processing :
  • Accurately process weekly payrolls for all team members, including regular, overtime, and time off.
  • Verify timekeeping records and resolve any discrepancies.
  • Ensure proper deductions for taxes, benefits, and other withholdings.
  • Prepare and distribute payroll reports to management as needed.
  • Benefits :
  • Accurately setup and withhold benefit elections inside of payroll.
  • Assist with setup during open enrollment periods.
  • Create HSA accounts and ensure all account information is sent to team members.
  • Reconcile benefit providers monthly invoices.
  • Participate in benefit conversation with CFO and benefits team.
  • Corporate Credit Card Management :
  • Oversee credit card operations across Spectrum (Accounting Software), Expense Track (Expense Report System), and Corpay (Card Management System).
  • Handle the creation, management, and deactivation of users and credit cards.
  • Proactively monitor for fraudulent activities and initiate disputes as necessary.
  • Import transactions into the accounting software monthly and ensure accurate expense reporting and account coding.
  • Train new users on the system and provide support to address any issues or inquiries.
  • Forward all transactions to the respective managers for review and approval.
  • Manage and track late expense reports to ensure timely submission and compliance.
  • Compliance and Reporting :
  • Maintain compliance with federal, state, and local payroll and benefits regulations, including prevailing wage requirements.
  • Prepare and file necessary payroll tax reports and documents.
  • Assist with audits and provide documentation as requested.
  • Generate and distribute annual tax forms (e.g., W-2, 1095-C) to team members.
  • Team Member Support :
  • Respond to team member inquiries regarding payroll, benefits, and corporate credit cards in a timely and professional manner.
  • Provide guidance and support for payroll, benefits, and corporate credit card-related issues.
  • Maintain team member records and ensure data accuracy in the HRIS system.
  • Other duties as assigned.

Requirements and Qualifications

  • 2 years of experience in payroll processing, preferably in the construction industry.
  • Strong knowledge of payroll and benefits regulations and compliance, including prevailing wage laws.
  • Excellent attention to detail and strong analytical skills.
  • Ability to handle confidential information with integrity and discretion.
  • Strong communication and interpersonal skills.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Familiarity with construction industry practices and labor agreements is a plus.
  • This position is based on a 45-55-hour workweek.
  • Must be able to work flexible hours, including evenings and weekends as required.

Working Conditions & Physical Demands

  • Frequently required to sit; talk or hear; and use hands to handle, or touch objects or controls.
  • Regularly required to stand and walk. On occasion the team member may be required to stoop, bend or reach above the shoulders.
  • Must occasionally lift up to 25 pounds.
  • Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
  • The team member must be able to differentiate and / or identify colors.
  • Must have knowledge of occupational hazards in construction field and standard safety practices. Must be able to pass the 30 Hour OSHA testing and First Aid / CPR requirements before starting work.
  • Must complete and meet requirements under the physical demands of this job description through a pre-employment physical examination.
