Job Description Summary
The Executive Assistant provides diverse administrative support to executive management, which includes independent judgment, proficiency at general office procedures, Microsoft Office products, and excellent communication skills.
Duties may include coordination and scheduling, correspondence and presentation preparation, and travel arrangements. Requires highly proficient / advanced administrative skills.
Completes most complex tasks under minimal supervision.
Duties / Responsibilities
- Performs administrative assistant duties for a senior leader.
- Schedules and arranges appointments and meetings, including coordinating documents, refreshments and resources, and conference calls.
- Prepares correspondence, meeting minutes, or executive summaries.
- Maintains files and office supplies, budget records, reconciles and verifies expenses, and completes reimbursements.
- Schedules and arranges meetings / events for internal and external customers.
- Arranges travel reservations and prepares associated paperwork, ensuring all policy and procedures are adhered to.
- Generates, formats, and proofreads documents which are often complex and technical in nature, including correspondence, reports, presentations, memoranda, tables, and charts while ensuring grammatical consistency.
- Answers and screens telephone calls, resolving routine and complex inquiries.
- Communicates executive leader intentions to other employees.
- Assists other administrative / executive assistants and may assist with orientation and training of staff.
- Provides coverage and collaborates with other executive staff team members.
- Performs other duties as assigned.
Skills / Abilities
- Superior communication and computer skills.
- Strong ability to coordinate Outlook calendars.
- Proficiency with databases and Microsoft Office applications (Word, PowerPoint, Excel, and Outlook).
- Knowledge and use of business systems.
- Self-starter, organized, and detail-oriented individual.
Education
High School Diploma or Equivalent required or Associate's Degree in a related field of study preferred.
Experience
7 - 10 years of administrative support experience required.
