We are seeking a detail-oriented and organized Accounts Payable Specialist to join our accounting team. The Accounts Payable Specialist will be responsible for managing and processing all aspects of accounts payable, ensuring that our financial obligations are met accurately and on time.

The ideal candidate will have strong analytical skills, a thorough understanding of accounting principles, and the ability to work collaboratively in a fast-paced environment.

This position will report to the Controller.

Essential Functions for this Role :

Invoice Processing :

Review, verify, and process invoices for payment.

Match invoices to purchase orders and receipts, ensuring accuracy and completeness.

Resolve discrepancies and issues related to invoices, purchase orders, and receipts.

Payment Management :

Prepare and process electronic transfers and payments.

Ensure timely payment of vendor invoices and expense reports.

Monitor accounts to ensure payments are up-to-date and processed according to company policies.

Vendor Relations :

Maintain positive relationships with vendors and suppliers.

Respond to vendor inquiries and resolve payment-related issues promptly.

Reconcile vendor statements and correct discrepancies.

Credit Card and Expense Reimbursement :

Manage and reconcile corporate credit card accounts.

Process employee expense reports and ensure compliance with company policies.

Verify and reimburse approved expenses accurately and promptly.

Financial Reporting :

Assist in the preparation of accounts payable reports and analyses.

Support month-end and year-end closing processes, including accruals and reconciliations.

Maintain accurate and organized accounts payable records and documentation.

Compliance & Internal Controls :

Ensure compliance with company policies, procedures, and internal controls.

Assist with audits and provide necessary documentation and explanations.

Continuously review and improve accounts payable processes and controls.

Ideal Qualifications Include :

Associates’ degree in Finance / Accounting / Business Administration or equivalent experience

2+ years of experience in accounts payable or similar role

Experience with Sage Intacct, bill.com or similar systems

Proficient in excel

Physical Demands :

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers and filing cabinets.

The team member frequently communicates with internal team members, investors and vendors. Must be able to remain in a stationary position 50% of the time.

Constantly operates a computer and other office productivity machinery such as a copy machine and printer. Occasionally moves items up to 50 lbs. for various projects.

Compensation :

Base salary negotiable (depending on experience)

An annual bonus percentage that varies based on level of experience.

Accrual of PTO per PTO policy (first year of employment accrual of 12 days)
