Position Summary

Reporting directly to the SVP / CMO, the Executive Assistant provides executive support to the SVP / CMO and KSE Marketing Department.

The Executive Assistant must be creative and enjoy working within a team environment that is mission-driven, results-driven and community oriented.

The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities.

The Executive Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.

Essential Functions / Responsibilities

Maintain the SVP / CMO calendar of appointments, meetings and other obligations to ensure completeness and accuracy at all times;

reminds the SVP / CMO of daily schedule and helps ensure timeliness.

  • Assist with the KSE Marketing Department day-to-day administration, examples include, department event planning, department on-boarding, department dashboards and reporting etc.
  • Understand and maintain complete confidentiality with matters relating to executives and day-to-day office operation.
  • Screen phone calls; convey messages - verbal, written or e-mail, between caller and SVP / CMO; ensure messages are complete, accurate and delivered in a timely manner.
  • Create and maintain executive files on a regular basis.
  • Schedule and maintain travel arrangements.
  • Coordinate details for meetings such as securing room location; ordering food and beverages; arranging appropriate A / V and conferencing services;

escorting guests in the building.

  • Assist in securing and delivering tickets for outside clients, vendors as requested.
  • On occasion, assist in game night activities and events for all major sports teams inside of KSE.
  • Assist with assigned marketing projects and programs.
  • Occasionally provide administrative support for marketing department as needed.
  • Curate presentations for internal and external stakeholders
  • Assist with department KPI tracking.
  • Other duties as assigned.

Performance Requirements / Skills

  • Ability to maintain a high degree of confidentiality and exercise discretion.
  • General knowledge of office protocol, function, and administration.
  • Proficient in use of Microsoft Office (Word, Excel, PowerPoint and Outlook)
  • Understanding and proficiency in presentation software programs.
  • Good organizational skills and ability to quickly move from one project to another.
  • Excellent communication and coordination skills to successfully communicate professionally with internal and external customers, vendors, and others.

Education / Experience

  • High school diploma or GED required; college degree preferred.
  • Four to six years’ experience as an Executive Assistant or equivalent combination of education and experience.
  • Ability to acquire or produce and maintain a valid Colorado driver’s license and meet company vehicle driving standards.

Compensation

Base Salary : $50,000
