Position Summary

Whitworth University is seeking a dedicated and detail-oriented individual to join our team as a Program Coordinator. This position provides crucial support to both the Student Success office and the Educational Support Services (ESS) office.

The successful candidate will play a vital role in coordinating a professional testing environment, managing sensitive information, and ensuring the efficient operation of our testing services.

In addition to coordinating these services, the Program Coordinator will offer specialized support to students, promoting their success and well-being.

This role also involves collaborating with various campus departments to enhance student experiences and contribute to their overall success at Whitworth.

Core Responsibilities

Administrative Support 35%

  • Provide administrative support with handling sensitive and protected information and document highly confidential information.
  • Opening and closing duties include starting up and shutting down computers, keeping the office and testing rooms clean and presentable, ensuring equipment is in working condition, and providing general information to visitors and students.
  • Maintain Excel list of students and correlated accommodation.
  • Coordinate testing services and proctoring exams.
  • Process online student request forms to schedule exams in ESS
  • Request exam materials from faculty, follow up on missing materials, and process and secure received testing materials.
  • Schedule in Outlook test appointments based on availability of seats and staffing

Specialized Functions 35%

  • Taking the initiative to create thorough and effective systems
  • Provide follow-up through higher education case management strategies.
  • Assess the needs of students continually and maintain ongoing follow-up as needed.
  • Advocate for coordinating and monitoring resources
  • Empower students to become self-advocates and initiate change to positively affect their situation
  • Refer at-risk students to appropriate campus resources and partner with various campus departments / staff / faculty
  • Keep detailed notes of interactions with students, confidential reports, and referrals as needed in the Maxient database.

Exam Proctoring 20%

  • Maintain a professional and quiet testing environment.
  • Prepare testing materials and rooms for check-in and seating.
  • Coordinate with the ESS Manager and faculty to proctor exams.
  • Start and end exams on time.
  • Return exams or notify faculty for pick-up.
  • Keep an online record of testing services provided.

Other 10%

  • Assist with Student Life events and projects.
  • Other duties as assigned.

Qualifications, Skills, and Abilities

Education and Experience

  • An understanding of the student developmental process and ability to promote accessibility for students.

  • Demonstrated ability to identify issues and develop effective solutions.
  • Commitment to maintaining confidentiality and handling sensitive information appropriately.
  • Ability to work collaboratively in a team environment and build positive relationships with students and colleagues.
  • Experience and proficiency with educational management systems.

Preferred

  • Associate or bachelor's degree.
  • Experience in an educational setting or similar environment.
  • Mental Health First Aid.
  • Experience working effectively with college-aged students.

Schedule

Full-time (.92 FTE) 11 months 40 hours per week

Whitworth office hours are 8 AM to 4 : 30 PM Monday - Friday

Available to work varied hours occasionally.
